Mailchimp uses an Audience-based model with Subscribers, Tags, Merge Fields, Campaigns, and Customer Journeys. There is no Deal or Pipeline equivalent in Mailchimp; those objects do not migrate. We extract Bigin Contacts, map standard fields (name, email, phone, address) to Mailchimp subscriber fields, and resolve custom fields to Mailchimp Merge Fields using the uppercase merge tag convention. Company records, Deal associations, and engagement history migrate as Tags or merge-field values where semantically appropriate. Pair-specific challenges

  • Mailchimp has no Deal or Pipeline object

    Bigin Deals, Stages, and Pipelines have no equivalent in Mailchimp's Audience model. Mailchimp is an email marketing platform, not a CRM, and does not support opportunity records, deal amounts, probability percentages, or close dates. We exclude Deals from migration scope and deliver a written inventory of all Deals with stage, amount, owner, and associated Contacts. If sales pipeline data must be preserved, the customer needs a separate CRM platform or Mailchimp's Salesforce integration add-on for CRM sync, which is outside standard migration scope.

  • Bigin Bulk Read excludes Notes and Attachments

    Bigin's Bulk Read API cannot export Notes or Attachments and returns only compressed ZIP files containing CSVs. For Notes data (which may be relevant for email personalization), we must fall back to individual record API calls, which consume Bigin credits at a higher rate. We scope Note volume during discovery, estimate credit budgets, and flag Note exclusion if credit costs exceed the migration budget. Attachments (file uploads on records) cannot be migrated to Mailchimp because Mailchimp does not have an attachment object on subscribers.

  • Mailchimp per-contact pricing creates a minimum billable tier

    Mailchimp Standard starts at $17 per month for up to 500 contacts with paid plans requiring a minimum contact count. Bigin's free plan allows 500 records on 1 user, but Mailchimp's free tier also caps at 500 contacts and limits automation and branding features. Teams migrating from Bigin with more than 500 contacts will enter a paid Mailchimp tier. We confirm the customer's expected contact count against Mailchimp's pricing tiers during scoping and flag the cost impact before migration begins.

  • Merge field data type mapping requires upfront Mailchimp configuration

    Mailchimp merge fields must be created in the Audience before subscriber import, with explicit data types (text, number, date, address, phone). Bigin custom fields may use data types that do not map directly to Mailchimp merge field types. We pre-create merge fields during the Mailchimp setup phase before any data moves, and we validate data formats (date formats, phone number formats) against Mailchimp's requirements. If a Bigin custom field contains mixed data types, we flag it during scoping and apply a transformation or truncate to text.

  • Bigin's credit-based API can throttle contact export

    Bigin's API uses a credit system where each standard API call consumes 1 credit, Get Records with cvid consumes 3 credits, and Bulk Read initialization consumes 50 credits. Paid plans get 50,000 plus 250 per user per 24 hours (max 100,000). We pace API calls to stay within daily credit limits, monitor credit consumption during export, and reschedule if the daily credit window resets mid-migration. Large contact exports (over 10,000 records) may require two or more export days depending on the plan's credit allocation.

Migration approach

Six steps for a successful Bigin by Zoho CRM to Mailchimp data migration

  1. Discovery and Mailchimp audience configuration

    We audit the source Bigin account across plan tier (Free/Express/Premier), Contact and Company count, custom field definitions (namespace, label, data type), and any active Bigin-to-Mailchimp integration setup. We pair this with Mailchimp audience configuration: creating or selecting the target Audience, defining merge fields matching Bigin's custom fields, designing the tag taxonomy for Company, Deal stage, and engagement data, and confirming the customer's Mailchimp plan tier. The discovery output is a written migration scope with object mapping, merge field list, and tag taxonomy.

  2. Bigin API access and credit budgeting

    We establish OAuth 2.0 API access to the Bigin account and scope the credit consumption for the planned export. Standard Contact and Company exports consume 1-3 credits per record via bulk read. If Note data is in scope, we budget for individual record API calls at higher credit cost. We run a test export of 50-100 records to validate field mapping, email deliverability, and credit burn rate before committing to the full export.

  3. Tag taxonomy and merge field finalization

    We finalize the tag taxonomy and merge field configuration in Mailchimp based on the customer's chosen strategy from scoping. Company names become Tags applied per Contact. Deal stage or Pipeline names become Tags if used for segmentation. Custom fields become Merge Fields created in Mailchimp before subscriber import. We validate that merge field names conform to Mailchimp's uppercase tag syntax (max 10 characters for standard fields, 30 for custom).

  4. Contact export, transformation, and Mailchimp import

    We export Bigin Contacts via bulk read in CSV format, validate email addresses and required fields, apply transformations (date format normalization, multi-select concatenation, phone number formatting), and resolve Company associations for tag application. The transformed CSV is imported into Mailchimp via the Mailchimp API with batch processing. Tags are applied after subscriber import using the Mailchimp Tags API. Each batch emits a row-count reconciliation report.

  5. Validation and written inventory delivery

    We validate the migrated audience in Mailchimp by spot-checking 25-50 random subscribers against the Bigin source (name, email, phone, merge field values, tag presence). We generate a written inventory of excluded objects: Deals, Pipelines, Tasks, Events, Calls, Notes, Attachments, and Products. Each inventory item includes the record count, field list, and owner assignment so the customer's admin can recreate manually or transfer to another system.

  6. Cutover and handoff

    We freeze Bigin writes during cutover if the customer plans to discontinue Bigin. If the Bigin-to-Mailchimp integration is still active, we coordinate with the customer's admin to disable or reconfigure the integration to prevent duplicate contact creation. We deliver the final migration report including record counts migrated, excluded, and held in reconciliation. We do not rebuild Bigin workflows or automations in Mailchimp Customer Journeys; we deliver a written inventory of active Bigin workflows as a separate handoff document for the customer's marketing admin to rebuild in Mailchimp.
