Overview

What this migration involves

Best Case Bankruptcy stores practice data in a legal-specific schema: debtors, co-debtors, attorneys, trustees, cases, creditors, and bankruptcy schedules (A through J) — each with its own structured fields. Zoho CRM operates a standard CRM module set (Leads, Contacts, Accounts, Deals, Tasks, Events) designed for sales pipelines, not bankruptcy filings. The migration maps your Best Case client records to Zoho Contacts, bankruptcy cases to Zoho Deals with custom fields for chapter type, case status, and filing date, and creditors to Zoho Leads with a creditor-classification pick-list. We extract Best Case data via its export tools, normalize the CSV, create custom fields in Zoho to hold the bankruptcy-specific properties that have no standard equivalent, and bulk-import into Zoho's modules. Workflows, court-filing automations, and PACER integrations do not migrate — those must be rebuilt in Zoho Blueprint or as standalone workflows. A 24–48 hour delta pickup window captures any Best Case records modified during the cutover, so Zoho reflects your final state at go-live.

Why teams make this switch

Two sides of the same decision

Leaving

Best Case Bankruptcy logo

Best Case Bankruptcy

What's pushing teams away

  • Compatibility issues between desktop and cloud versions cause lost documents and sync failures with court filing systems, leading to filing delays.
  • Support response times frustrate users trying to resolve urgent e-filing errors before court deadlines.
  • Best Case has changed ownership through successive acquisitions, raising concerns that cost-cutting will degrade the product quality long-term.
  • Newer feature add-ons — consumer loan management, legal noticing — are seen as unnecessary bloat by solo and small-firm practitioners.
  • Periodic form layout redesigns introduce confusion; the 2023 form updates introduced duplicate-question wording that Best Case did not clarify adequately.

Choosing

Zoho CRM logo

Zoho CRM

What's pulling them in

  • Free tier is genuinely usable for up to 3 users with leads, pipeline management, and email tracking — no credit card required, making it easy to evaluate before committing.
  • Pricing undercuts Salesforce by 80–90% at equivalent feature tiers, with Enterprise plans offering capabilities that cost 3–4× more on competing platforms.
  • Deep ecosystem of 45+ integrated apps (Books, Desk, Creator, Campaigns) means companies already in the Zoho suite get native integrations without third-party connectors.
  • Highly customizable: custom modules, custom fields, Canvas drag-and-drop layouts, and Blueprint workflow automation without requiring developer resources.
  • Small-business reviewers highlight real-time team visibility, daily time savings of 60–90 minutes, and the ability to mold the CRM to any industry vertical.

Object mapping

How Best Case Bankruptcy objects map to Zoho CRM

Each row shows how a Best Case Bankruptcy object lands in Zoho CRM, including any object-level transformations, lookup resolution, or schema-design dependencies.

Typical mapping — final map is confirmed during the sample migration step.

Best Case Bankruptcy

Debtor (Client)

maps to

Zoho CRM

Contact

1:1
Fully supported

Best Case debtors map directly to Zoho Contacts. All standard address, phone, and email fields translate 1:1. Bankruptcy-specific fields (debtor type, SSN last four, filing date) migrate as custom fields. The debtor's attorney reference becomes a lookup field on the contact record.

Best Case Bankruptcy

Co-Debtor

maps to

Zoho CRM

Contact

1:1
Fully supported

Co-debtors in Best Case map to additional Zoho Contacts linked to the primary debtor contact via a Co-Debtor relationship type. The relationship label is stored in a custom pick-list field on the Contact for reference during case review.

Best Case Bankruptcy

Bankruptcy Case

maps to

Zoho CRM

Deal

1:1
Fully supported

Each Best Case bankruptcy case becomes a Zoho Deal. The deal name uses the debtor last name plus case number for uniqueness. Chapter type (7, 13, 11, 15), case status (active, discharged, dismissed), filing date, and discharge date migrate as custom fields on the Deal. The Deal pipeline is used for case-status tracking — a pick-list field (Case_Status__c) drives the stage in Zoho.

Best Case Bankruptcy

Debtor Attorney

maps to

Zoho CRM

Contact

1:1
Fully supported

Attorney records in Best Case map to Zoho Contacts with a Role pick-list set to 'Attorney'. Attorney bar number and firm name migrate as custom fields. Attorney contacts are related to the primary debtor contact via Zoho's native relationship-linking feature.

Best Case Bankruptcy

Trustee

maps to

Zoho CRM

Contact

1:1
Fully supported

Trustee information from Best Case maps to Zoho Contacts with Role = 'Trustee'. Trustee case assignment is captured in a custom field on the Deal record. If multiple trustees appear across cases, they are stored as separate Contact records with trustee-specific custom fields.

Best Case Bankruptcy

Creditor

maps to

Zoho CRM

Lead

1:1
Fully supported

Creditors are mapped to Zoho Leads initially since many may not yet be converted to active Contact records. Creditor classification (secured, unsecured, priority, co-signed) migrates as a custom pick-list field. Once a creditor is confirmed as an active party, the Lead converts to a Contact in Zoho.

Best Case Bankruptcy

Schedule (A–J)

maps to

Zoho CRM

Custom Module / Subform

1:1
Fully supported

Bankruptcy schedules (real property, personal property, creditors, income, expenses, contracts, etc.) are highly structured sub-forms in Best Case. These map to Zoho as either a custom module linked to the Deal or as sub-form fields on the Deal record. Each schedule type requires a set of custom fields in Zoho — schedule type name, description, value, and creditor reference where applicable.

Best Case Bankruptcy

Meeting of Creditors

maps to

Zoho CRM

Event

1:1
Fully supported

The 341 Meeting of Creditors date and time from Best Case migrates as a Zoho Event linked to the Deal record. Event type is set to '341 Meeting', and the trustee assigned to the case is set as the Event owner. Location field captures the virtual or physical meeting location.

Best Case Bankruptcy

Document / Attachment

maps to

Zoho CRM

Attachment (on Deal/Contact)

1:1
Fully supported

Best Case documents (petitions, schedules, court orders, credit reports) are exported as file packages and re-uploaded as Zoho CRM attachments on the corresponding Deal record. Large files are split to stay within Zoho's 25 MB per-file limit. PDF petitions are linked to the Deal; credit reports attach to the debtor Contact.

Best Case Bankruptcy

Task / Reminder

maps to

Zoho CRM

Task

1:1
Fully supported

Best Case case-level tasks (court deadlines, filing reminders, document collection) migrate as Zoho Tasks linked to the Deal. Original due dates and task descriptions are preserved. Task status maps to Zoho's task status pick-list values (Not Started, In Progress, Completed).

Best Case Bankruptcy

Case Notes / Activity Log

maps to

Zoho CRM

Notes

1:1
Fully supported

Free-form case notes in Best Case migrate as Zoho Notes on the Deal record. Notes include the original timestamp and author name in the note body for audit continuity. Rich-text formatting is preserved where Best Case supports it.

Best Case Bankruptcy

Credit Report

maps to

Zoho CRM

Attachment (on Contact)

1:1
Fully supported

Credit reports ordered through Best Case's integrated credit service are exported as PDF files and attached to the debtor Contact record in Zoho. The attachment name includes the pull date for traceability.

Pair-specific challenges

  • Bankruptcy-specific fields have no standard Zoho equivalent and require pre-built custom field setup

Best Case stores chapter type (7, 13, 11), case status (discharged, dismissed, reopened), filing date, and exemption-schedule values as native fields. Zoho CRM has no standard fields for these concepts — they must be pre-created as custom fields (Chapter__c, Case_Status__c, Filing_Date__c, Discharge_Date__c) before the migration runs. Zoho's 300-field-per-module ceiling applies; large schedules with 20+ line items per form (Schedule A, B, D, E/F) may require splitting across multiple custom modules or sub-forms. We deliver a custom-field setup plan based on your specific schedule configuration before data lands.

  • Creditor sub-forms require N:1 relationship resolution at import time

Best Case creditors attach to cases as sub-form rows — one case can have 10 or 200 creditors with claim amounts, classification, and address per row. Zoho Leads do not support native sub-forms in the same way. We resolve this by creating one Lead per unique creditor entity and linking it to the Deal via a Deals Lookup field or a custom Many-to-Many module. Where the same creditor appears across multiple cases, we deduplicate by creditor name + address before import to avoid creating duplicate Lead records in Zoho.

  • Document re-upload is required — Best Case attachments do not migrate as file references

Best Case stores petitions, court orders, credit reports, and signed forms as file attachments linked to case records. Zoho CRM stores attachments on its own record objects — there is no direct file-reference migration path. We export the Best Case attachment package, map each file to its corresponding debtor Contact or Deal record in Zoho, and re-upload via Zoho's bulk attachment API. Files larger than 25 MB are split before upload. This step adds time for large attachment sets and requires your team to verify document-to-record linkage in a post-migration review.

  • Zoho role-based access does not map to Best Case's case-level permissions

Best Case lets you restrict access by role (Attorney, Paralegal, Administrative) per case — a paralegal may see Case A but not Case B. Zoho CRM's data-sharing model uses Profiles, Territories, and Sharing Rules that operate at the module and record-owner level, not at the per-record granular permission set that legal practices often require. We surface this gap in the migration plan: your Zoho admin must configure sharing rules to approximate Best Case's case-level access, or accept a broader-access model in Zoho. Role simulation in Zoho requires careful setup before user onboarding.

Migration approach

Six steps for a successful Best Case Bankruptcy to Zoho CRM data migration

  1. Audit Best Case data export and schema

We extract all Best Case modules via the built-in export wizard — debtor contacts, co-debtor sub-forms, attorney and trustee records, case headers, creditor sub-forms, and schedule line items all export to separate CSV files. We review the field inventory, identify non-standard date formats and pick-list values, count attachments, and assess data quality (duplicate debtors, missing SSN last-four, unlinked creditors). This audit produces the field mapping spreadsheet and flags any modules that will require custom field pre-creation in Zoho before import begins.

  2. Pre-create Zoho custom fields and custom modules

Before any data lands in Zoho, we create the custom fields required for bankruptcy-specific data: Chapter__c pick-list, Case_Status__c pick-list, Filing_Date__c date field, Discharge_Date__c date field, Case_Number__c text field, Debtor_Type__c pick-list, Creditor_Type__c pick-list, Co_Debtor_Relationship__c pick-list, Bar_Number__c text field, and the Source_System_ID__c field for all modules. If your schedule data exceeds Zoho's 300-field-per-module limit, we design a custom module structure (e.g., a Creditors sub-form module linked to Deals) and document the layout before the migration run.

  3. Resolve attorney and trustee contacts first in migration sequence

Zoho requires Contacts to exist before lookup fields can reference them — attorney contacts and trustee contacts must be migrated before debtor contacts, and debtor contacts must exist before Deals can reference them via custom lookup fields. We sequence the migration: Accounts (attorney firms) first, then attorney and trustee Contacts, then debtor and co-debtor Contacts, then Creditor Leads, then Cases as Deals, then Tasks and Events. This ordering resolves foreign-key dependencies without leaving orphan records in Zoho.

  4. Run a sample migration with field-level diff on 100–200 records

A representative slice — one attorney, five debtor contacts, three co-debtors, ten creditors, five cases, and twenty schedule rows — migrates to Zoho first. We generate a field-level diff comparing source CSV values against the resulting Zoho record values, verifying that chapter type mapping, date formatting, pick-list value translation, and lookup field resolution all produced the expected results. You review the diff before we commit to the full run. Any mapping errors are corrected before scaling up.

  5. Full migration run with delta-pickup window and rollback

The full dataset migrates to Zoho CRM using Zoho's bulk import API, with attachment re-upload following the data import. After the initial run completes, a 24–48 hour delta-pickup window captures any Best Case records modified during the cutover — new filings, updated case status, or new creditors added by staff during the migration window. All operations are logged in an audit trail. One-click rollback reverts all migrated records if reconciliation against the Best Case source data reveals unexpected discrepancies.

Strengths

  • OneTouch™ e-filing has survived every court ECF transition since 2005 without a single manual re-entry requirement.
  • Built-in Means Test Calculator and Exemption Analyzer handle the most calculation-heavy portions of case prep automatically.
  • Due Diligence Reports import credit bureau data directly into forms, averaging 60 minutes of saved data entry per case.
  • PACER free-look integration and automatic court calendar sync replace a separate docket-monitoring subscription.
  • Client intake questionnaire enables fully remote initial consultations through a secure online portal.

Weaknesses

  • No publicly documented API means all data exports require file extraction, screen-scrape, or manual CSV pulls.
  • Compatibility issues between desktop and cloud versions cause document loss and court-sync failures.
  • Customer support quality is inconsistent; users report slow response times on urgent e-filing issues.
  • Frequent screen layout and form redesigns introduce friction for established users who have muscle-memory workflows.
  • Newer add-on modules (consumer loan management, legal noticing) are seen as unnecessary complexity by solo practitioners.

Strengths

  • Generous free tier (3 users) with real CRM functionality — no artificial feature restrictions that prevent valid use cases.
  • Per-seat pricing is transparent and predictable; no contact-based billing surprises that inflate monthly invoices.
  • Blueprint visual workflow builder lets sales ops teams automate stage progressions without developer involvement.
  • Canvas drag-and-drop layout editor lets non-technical users customize module views and forms per role.
  • Active development cadence: API v8 is well-documented, supports bulk endpoints, and COQL queries handle complex filtering.

Weaknesses

  • Poor support quality and inconsistent SLA — Enterprise tier requires 50+ user minimum for Priority Phone support.
  • Daily export limits in the UI vary by plan tier, making large dataset extraction slow and planning-dependent.
  • Zia AI features are gated behind $40+/user Enterprise tier, not available to most SMB customers who chose Zoho for cost savings.
  • User-reported occasional UI inconsistencies and performance slowdowns on large datasets with many custom fields.
  • No EU-hosted option limits appeal for GDPR-sensitive companies; some competitors offer data residency guarantees Zoho does not.
