We conduct a structured discovery engagement scoped to the customer's WorkWise deployment: cloud or on-premise, database access method, MOD field inventory, and open record volumes across Customers, Vendors, Items, Sales Orders, Purchase Orders, Work Orders, BOMs, and Routings. For on-premise deployments we perform a direct database audit identifying the relevant tables, ECN-effective date columns, MOD extension tables, and the mobile app sync queue. For cloud deployments we coordinate with Aptean or the customer to extract a data pull. The discovery output is a written migration scope document with record counts, schema map, and ECN scoping recommendation.
BOM explosion and ECN scoping decision
We analyze the full multi-level BOM structure, routing operations, and ECN revision history. For each Item with multiple BOM revisions, we determine the current-effective revision and flag any BOMs with future-effective ECN dates that require date-gated migration. We present two migration paths to the customer: current-effective BOM only (simpler, faster, lower cost) or full revision history preserved as Dolibarr notes on the Product record (more complete, higher cost). This decision gates the entire BOM migration phase and must be resolved before schema design begins.
Dolibarr module activation and schema preparation
We install and configure the target Dolibarr instance (or validate an existing installation). We activate the required modules: Third-Party, Product, Commercial Proposals or Orders, Stock, BOM (manufacturing), and any additional modules needed (HR/Users, Projects). We create the warehouse/location hierarchy matching WorkWise's location/bin structure, configure the chart of accounts with the mapped GL segments, and set up extrafields to receive any migrated MOD field values. Each phase emits a row-count reconciliation report before the next phase begins. Mobile app sync queue data is loaded as a final optional phase based on the scoping decision made during discovery.
Cutover, validation, and WorkBench rebuild handoff
We freeze WorkWise writes during cutover, run a final delta migration of any records modified during the migration window, then designate Dolibarr as the system of record. We deliver the WorkBench configuration inventory and MOD field map to the customer's team. We do not rebuild WorkWise WorkBenches, MOD customizations, or automations in Dolibarr; those are separate configuration engagements or internal IT tasks.
