Overview

What this migration involves

Moving from Simplero to Monday.com CRM is a platform-type migration, not a direct object replacement. Simplero is an all-in-one course, community, and email platform with a contact-centric data model; Monday.com CRM is a visual, board-based system where every record is an Item on a Board. We design the Monday.com board structure during scoping—mapping Simplero Contacts to Monday.com CRM People, Deals to Pipeline Items, Orders to Deals with line items, and Tags to Monday.com Tags—before any data is extracted. Simplero does not expose Automation Flows via API, so we document every Flow with its trigger, conditions, and action chain for manual rebuild in Monday.com Automations. Contact export is available on Scale and Skyrocket tiers only; Starter-plan customers must upgrade before migration. We do not migrate Forms, Landing Pages, Sequences, or email broadcast content as deployable code—these require manual rebuild in Monday.com.

Why teams make this switch

Two sides of the same decision

Leaving

Simplero logo

Simplero

What's pushing teams away

  • Contact limits (500 to 5,000) are restrictive relative to Simplero's community and email broadcast capabilities—if a creator builds a large audience without buying up, they hit a hard ceiling with no warning.
  • API access is gated to the Scale tier ($149/mo) and above, blocking automation-heavy businesses or integrators from operating on Starter plans and forcing a tier upgrade to migrate at all.
  • Integrations beyond Zapier and native webhooks are limited; customers needing native CRM sync, deep analytics pipelines, or advanced e-commerce often find Simplero a dead end and migrate to HubSpot or HighLevel.
  • Steep learning curve for automation Flows despite the intuitive UI for individual features—complex nurture sequences often require external help or become unmaintainable.
  • The platform bundles so many tools that customers using only a subset (e.g., just email and courses) feel they are overpaying relative to specialists like Mailchimp or Teachable.

Choosing

monday CRM logo

monday CRM

What's pulling them in

  • Users praise the board-based visual interface for making pipeline stages immediately legible to non-technical team members without CRM training.
  • The no-code automation builder lets sales ops teams create lead routing, stage updates, and email triggers without developer involvement.
  • Integration ecosystem connects to Slack, Gmail, Outlook, and Zapier with minimal configuration, reducing friction for teams already using these tools.
  • The flexible column system lets teams build custom CRM views — deal value, close date, lead source — without needing a developer or pre-defined schema.
  • Teams already using monday Work Management can layer CRM features onto existing boards rather than starting from scratch.

Object mapping

How Simplero objects map to monday CRM

Each row shows how a Simplero object lands in monday CRM, including any object-level transformations, lookup resolution, or schema-design dependencies.

Typical mapping — final map is confirmed during the sample migration step.

Simplero

Contact

maps to

monday CRM

People (CRM module)

1:1
Fully supported

Simplero Contacts map to Monday.com CRM People records. We migrate name, email, phone, subscription date, and all custom Contact Fields as typed columns in the People board. Tags from Simplero transfer to Monday.com Tags. Segment membership is preserved by creating a dedicated Tags or Label column in the People board. Note that Simplero Contacts include enrollment history and order totals that become custom number columns in Monday.com. Pre-creation of custom columns in the Monday.com People board is required before import; we coordinate this during scoping.

Simplero

Tag

maps to

monday CRM

Tag

1:1
Fully supported

Simplero Tags are flat key-value labels applied to contacts. They map directly to Monday.com Tags, which are available across boards in the workspace. We export the full tag taxonomy from Simplero, deduplicate any redundant tags, and apply them to the corresponding People records in Monday.com CRM during import. Tags used for audience segmentation (e.g., course purchasers, webinar attendees) map to Monday.com Tags for filtering People views.

Simplero

Segment

maps to

monday CRM

Tag or Label Column

lossy
Fully supported

Simplero Segments are dynamic filter groups. Monday.com does not have a native Segment equivalent with dynamic membership rules. We convert each Simplero Segment to a static Monday.com Tag or a Label Column on the People board, applying the tag to every contact that was a member of the segment at migration time. Post-migration, customers can replicate dynamic segment behavior using Monday.com's Filter feature on the People board.

Simplero

Deal (Skyrocket tier)

maps to

monday CRM

Pipeline Item

1:1
Fully supported

Simplero Deals (available on Skyrocket tier only) map to Monday.com CRM Pipeline Items in the Deals board. We map deal name, value, stage, owner, close date, and associated contact to the corresponding Monday.com columns. Simplero pipeline stage names vary per customer and are mapped to Monday.com Pipeline stage values during scoping. Deals without an associated contact in Simplero map to Pipeline Items with no linked People record and are flagged for manual association.

Simplero

Order

maps to

monday CRM

Deal + Line Item

1:many
Fully supported

Simplero Order records map to Monday.com CRM Pipeline Items with line items representing each product purchased. Each order becomes a Pipeline Item with the order total as the deal value, the order date as the create date, and individual products added as line items. Refund flags from Simplero become a custom Status Label on the line item. Partial payments and payment gateway metadata are stored in custom columns on the Pipeline Item.

Simplero

Product

maps to

monday CRM

Item (Products board)

1:1
Fully supported

Simplero Products (courses, memberships, digital downloads, coaching programs, sessions) map to Items in a dedicated Monday.com Products board. Product name, price, product type classification, and access rules are preserved as columns on each Item. Products used in Orders map to the line item references on the corresponding Deal Items. Monday.com does not natively enforce product access; this is noted as a gap for customers relying on Simplero for course delivery.

Simplero

Member + Enrollment

maps to

monday CRM

People + Tag

lossy
Fully supported

Simplero Members (contacts with active product access) and their enrollment records map to Monday.com People with a Tag applied (e.g., 'Active Member') and an enrollment date stored in a custom date column. The product association is preserved via a relationship or link column from the People board to the Products board. This does not replicate Simplero's access enforcement; customers migrating course delivery need a separate platform replacement.

Simplero

Ticket

maps to

monday CRM

Item (Support board)

1:1
Fully supported

Simplero Tickets (help desk feature, available on Scale and above) map to Items in a dedicated Monday.com Support board. Ticket subject, status, assignee, and conversation thread migrate as columns and sub-items on each Item. Simplero's internal chat history within tickets is stored as a long-text column on the Item. Skyrocket-tier features like chat widgets do not have a Monday.com equivalent and are documented as a gap.

Simplero

Automation Flow

maps to

monday CRM

Monday.com Automations

1:1
Fully supported

Simplero Automation Flows (triggers, delays, branching conditions, and action chains) cannot be extracted or migrated. We perform a discovery walkthrough of every active Flow, document the trigger event, step sequence, condition logic, and action types, and deliver a written automation inventory with recommended Monday.com Automations equivalents for each Flow. The customer's admin rebuilds the automations manually in Monday.com using the inventory as a guide.

Pair-specific challenges

  • Simplero Flows have no export path to Monday.com

Simplero's Flow engine stores automation logic server-side with no public API and no export mechanism. This is a platform-level limitation, not a pair-specific one, so we document every active Flow with its trigger, conditions, delays, and actions and deliver a written automation rebuild guide for Monday.com Automations. Complex multi-branch Flows with external webhooks or conditional splits require manual rebuild and testing in Monday.com, which is a non-trivial effort for sequences with more than five steps.

  • Monday.com is board-based; Simplero is table-based

Simplero stores contacts, orders, and tickets in traditional relational record types. Monday.com CRM stores every record as an Item on a Board with Columns defining the field schema. The migration is not a direct table-to-table import—it requires designing the destination board structure (Groups, Columns, and relationship columns) before data is imported. We handle this during the schema design phase, but customers should expect to rethink how their data is organized in Monday.com rather than expecting a one-to-one replica of Simplero's layout.

  • Simplero Starter-plan customers cannot migrate via API

Simplero's API is only available on Scale ($149/mo) and Skyrocket ($299/mo) plans. Starter-plan customers have no API access and must export contacts via CSV, which does not include segment membership, enrollment records, or tag assignments. We require customers to be on Scale or above before scoping a migration out of Simplero, or we scope a partial migration of contact records only with segment and enrollment data handled manually.

  • Unsubscribe records are not included in Simplero exports

When extracting contacts from Simplero via CSV or API, unsubscribe records are not included in the export. If a contact unsubscribes in Simplero after the migration cutover date, Monday.com will not know and will attempt to re-send. We implement a clean-cutover strategy: stop all email sends in Simplero before migration, migrate only active subscribers, and advise the customer to send a re-opt-in confirmation from Monday.com after migration. Email preference data from Simplero is preserved where it exists as a custom field.

  • Monday.com per-seat pricing applies on top of migration cost

Monday.com CRM uses per-seat pricing ($12-$28 per seat per month on Standard to Pro plans). Teams migrating from Simplero—where the platform is flat-rate with unlimited email sends—often underestimate the per-seat recurring cost of Monday.com. We note the per-seat structure during scoping so customers can model the ongoing subscription against Simplero's flat rate. CRM add-on features (sales forecasting, email sequences) are gated behind higher tiers and represent additional per-seat cost.

Migration approach

Six steps for a successful Simplero to monday CRM data migration

  1. Discovery and plan verification

We audit the Simplero account across tier (Starter/Scale/Skyrocket), current contact count, active products, order volume, ticket history, deal count and pipeline stages, and active Automation Flows. We confirm the account is on Scale or above before proceeding—Starter-plan customers are scoped for CSV-only migration of contact records with no segment or enrollment data. The discovery output is a written migration scope, record-count baseline, and Monday.com board structure proposal.

  2. Monday.com board schema design

We design the Monday.com workspace structure before extracting any Simplero data. This includes the People board (contacts and tags), Deals pipeline (stages mapped from Simplero deal stages), Products board, a support board for ticket history, and any custom boards for community or site pages. Custom columns on each board are pre-created to match the Simplero field schema, with field types mapped to the closest Monday.com column type. Relationship columns linking People to Deals and Products are configured during this phase.

  3. Simplero data extraction

We extract data from Simplero via the public API (Scale or Skyrocket tier) using the contacts, products, orders, members, and tickets endpoints. For Starter-plan customers, we extract contacts via CSV and supplement with API data where the plan allows. Tags and segment membership are exported alongside contact records. Automation Flows are documented through a screen-share walkthrough with the customer. All exports are staged in a secure intermediate format before transformation begins.

  4. Data transformation and board import

We transform Simplero records into Monday.com-compatible format, applying field-type mapping (date fields to Date columns, numeric fields to Number columns, text to Text columns, email addresses to Email columns linked to People). Tags are applied during People import. Deals are imported into the Pipeline board with owner assignment and stage mapping resolved. Orders are imported as Deal Items with line items. Products are imported into the Products board. Tickets are imported into the Support board. Each phase emits a row-count reconciliation report.

  5. Automation Flow documentation and handoff

We deliver the written Automation Flow inventory covering every active Simplero Flow: trigger type, conditions, delay rules, action sequence, and recommended Monday.com Automations equivalent. This is a documentation-only deliverable—the automations themselves require manual rebuild in Monday.com using Monday.com's recipe builder. We recommend the customer's admin allocate two to four hours per complex Flow for rebuild and testing.

  6. Cutover, validation, and post-migration handoff

We freeze Simplero writes during cutover, run a final delta migration of records modified since the initial extract, then hand off Monday.com as the system of record. We perform a record-count reconciliation across all boards against the Simplero baseline. We deliver a migration summary document covering record counts per board, any unmigrated data categories, and the automation rebuild guide. We do not provide post-migration admin support, training, or workflow rebuild as standard scope.

Platform deep dives

Context on both ends of the pair

Strengths

  • All-in-one bundling eliminates five to seven separate SaaS subscriptions for solo founders and small creative studios.
  • Zero platform transaction fees across all tiers makes revenue forecasting clean and predictable.
  • Skyrocket tier includes AI bot training, transcripts, and subtitling at no additional cost—features that competitors bundle as expensive add-ons.
  • Contact timeline, tagging, and segmentation are deep and well-integrated, supporting sophisticated audience management without a separate CRM.
  • API available on Scale+ with webhook support enables n8n, Zapier, and custom integrations for businesses that need them.

Weaknesses

  • API is not publicly documented with rate limits or endpoint schemas—integration work requires trial-and-error or asking Simplero support directly.
  • Contact quotas (500 to 5,000) are aggressive relative to the platform's email broadcast capabilities; customers routinely outgrow the tier they purchased.
  • Automation Flows cannot be exported or transferred—complex nurture sequences are effectively locked in to Simplero.
  • Help desk, sales pipelines, and child accounts are Skyrocket-exclusive, making mid-market teams upgrade to the most expensive tier for basic team features.
  • No native data export mechanism for most object types—CSV is available for contacts but orders, tickets, and enrollments require API access or manual workarounds.

Strengths

  • Board-based UI makes pipeline stages and deal progress visually obvious without training.
  • No-code automation builder requires no developer resources to create lead routing and stage-triggered actions.
  • Flexible column system supports custom CRM fields without schema changes or admin involvement.
  • Integrates natively with Slack, Gmail, Outlook, and Zapier with minimal configuration overhead.
  • Layered product means teams already on monday Work Management can add CRM without migrating existing data.

Weaknesses

  • No native Contacts object separate from Items — contacts are managed inside a CRM module's People feature.
  • Pipeline and deal relationships use a flat item model rather than a relational object model, making complex CRM associations awkward.
  • Automations are plan-gated (250 actions/month on Standard, 25,000 on Pro) and the legacy Recipe system is being deprecated.
  • Customization and advanced views (Chart, Formula, Dependency) are locked behind Pro and Enterprise tiers.
  • Per-seat pricing with non-refundable annual billing creates cost lock-in risk during migration.

Most migrations land between two and three weeks for accounts under 5,000 Contacts, 500 Deals, and a straightforward board structure. Migrations with large order histories (over 2,000 records), multiple Products boards, help desk ticket history, or complex multi-board workspace designs move to five to eight weeks because of board schema design time, custom field pre-creation, and the automation documentation scope. A migration from Starter-plan Simplero with CSV-only export takes additional time due to manual data supplementation.
