    Marketing Star rejects list imports where a contact is missing both an email address and a mobile phone number. During scoping we run a data quality check against all Marketing Star contacts and flag records missing both fields. The customer decides whether to exclude these records, enrich them with placeholder data, or suppress them entirely. We do not add placeholder values without explicit customer approval because injecting fake contact data creates downstream reporting noise in Zoho CRM.

  • List-to-tag migration changes segmentation logic

    Marketing Star uses list membership as the primary segmentation model. Zoho CRM uses tags and CRM Segments instead. When we convert lists to tags, the segmentation logic changes from membership-based (a contact is in a list or not) to tag-based (a contact can have multiple tags simultaneously). This can produce different contact counts for queries that relied on exact list boundaries. We document every list-to-tag mapping and validate segment counts against original list sizes before production migration.

  • Landing pages do not migrate as hosted assets

    Marketing Star landing pages are available on the Ultimate tier ($500/month) only and are not accessible via API export as live hosted pages. We export page content, URL redirect configurations, and form embed codes as a static content package. The customer's admin rebuilds these pages in Zoho Pages or a preferred hosting tool post-migration. This is a manual rebuild task, not a migration deliverable.

  • Zoho CRM validation rules can reject imported records

    Zoho CRM orgs commonly enforce validation rules on standard fields (required formats for email, phone, website; conditional required fields; picklist whitelists) and field-level security that blocks write access for non-admin roles. We coordinate with the customer's Zoho admin to grant the migration user field-level write access for the duration of the import, and we either temporarily disable blocking validation rules or extend them with a migration-context check. Without this step, imports reject 5-25 percent of records silently.

  • SMS consent mapping requires explicit customer approval

    SMS opt-in status in Marketing Star may be stored differently depending on how the customer configured consent collection (checkbox on form, keyword reply, manual import). We map SMS consent to Zoho CRM consent fields but the customer must confirm that the consent collection method meets their obligations under applicable SMS regulations (TCPA, GDPR, CASL) in their jurisdiction. We do not assume consent validity; we migrate the field value and document the original consent source for the customer's legal review.

  3. SMS consent and opt-in field mapping

    We map Marketing Star's SMS opt-in field to Zoho CRM consent fields on the Contact record. The customer confirms whether SMS consent was collected via double opt-in, form checkbox, keyword reply, or another method. This confirmation is required because consent provenance affects the customer's compliance posture under TCPA, GDPR Article 7, and CASL. We also map email opt-in status to Zoho's Email Opt Out field.

  4. Sandbox migration and reconciliation

    We run a full migration into a Zoho CRM Sandbox environment (or a parallel Zoho org) using production-like data volume. The customer's team reconciles record counts (Contacts in, Leads in, Accounts in, tags applied, campaign records created), spot-checks 25-50 random records against the Marketing Star source, and validates tag-based segments against original list sizes. Any mapping corrections and segmentation plan adjustments happen in sandbox before production migration begins.

  5. Production migration in dependency order

    We run production migration in dependency order: Accounts (extracted from Marketing Star contact company fields), Contacts (with AccountId resolved, email/mobile validated, tags applied, SMS consent mapped), Leads (for any contacts flagged as unconverted prospects), Campaigns (with historical send metrics), Activity history (calls and tasks via Zoho CRM bulk API), and SMS contact history. Each phase emits a row-count reconciliation report before the next phase begins. We use Zoho CRM's bulk import with chunking and retry logic for large record sets.

  6. Cutover, validation, and workflow handoff

    We freeze Marketing Star writes during cutover, run a final delta migration of any records modified during the migration window, then enable Zoho CRM as the system of record.
