Overview
Moving from Marketing Star to Zoho CRM is a structural migration from a marketing-automation-centric data model to a full CRM with Accounts, Leads, Contacts, and Opportunities. Marketing Star organizes data around Contacts, Lists, Campaigns, Forms, and Landing Pages; Zoho CRM uses Leads, Contacts, Accounts, Deals, and multiple standard modules that extend into an ERP ecosystem. We preserve list membership as tag assignments in Zoho, map campaign send history to Zoho Campaigns and the Activity timeline, and handle the SMS opt-in field separately from email opt-in. Landing pages, Forms, and QR codes do not migrate as hosted assets; we export content and URL redirects and deliver a written handoff for the customer's admin to rebuild in Zoho Pages or a third-party hosting tool. Automation workflows are documented but not migrated as code; Zoho's Blueprint and Workflow Rules require separate rebuild.

Discovery and data audit
We extract a full export from Marketing Star: Contacts (all fields including custom properties), Lists (with membership records), Campaigns (with send history and metrics), SMS contacts (with opt-in status), Forms (with field definitions), QR code configurations, and active Automation Workflows. We run a data quality report that identifies records missing both email and mobile, duplicate contacts, and inconsistent formatting. We pair this with a Zoho CRM edition assessment: Standard ($12/user) covers basic CRM; Professional ($22/user) adds workflow rules and multiple sales pipelines; Enterprise ($47/user) adds Blueprint, advanced analytics, and custom data processing rules. Schema design and tag-based segmentation plan
We design the destination Zoho CRM schema: custom fields on Contact and Lead matching Marketing Star properties, Account records to be created from contact company data, Deal and Pipeline structure (if the customer has sales pipeline data), and the tag taxonomy that replaces Marketing Star list membership. We map each Marketing Star list to a Zoho CRM tag prefix and design one or more CRM Segments that replicate the most important audience views. The segmentation plan is reviewed and approved before migration begins.
SMS consent and opt-in field mapping
We map Marketing Star's SMS opt-in field to Zoho CRM consent fields on the Contact record. The customer confirms whether SMS consent was collected via double opt-in, form checkbox, keyword reply, or another method. This confirmation is required because consent provenance affects the customer's compliance posture under TCPA, GDPR Article 7, and CASL. We also map email opt-in status to Zoho's Email Opt Out field.
Sandbox migration and reconciliation
We run a full migration into a Zoho CRM Sandbox environment (or a parallel Zoho org) using production-like data volume. The customer's team reconciles record counts (Contacts in, Leads in, Accounts in, tags applied, campaign records created), spot-checks 25-50 random records against the Marketing Star source, and validates tag-based segments against original list sizes. Any mapping corrections and segmentation plan adjustments happen in sandbox before production migration begins.
Production migration in dependency order
We run production migration in dependency order: Accounts (extracted from Marketing Star contact company fields), Contacts (with AccountId resolved, email/mobile validated, tags applied, SMS consent mapped), Leads (for any contacts flagged as unconverted prospects), Campaigns (with historical send metrics), Activity history (calls and tasks via Zoho CRM bulk API), and SMS contact history. Each phase emits a row-count reconciliation report before the next phase begins. We use Zoho CRM's bulk import with chunking and retry logic for large record sets.
Cutover, validation, and workflow handoff
We freeze Marketing Star writes during cutover, run a final delta migration of any records modified during the migration window, then enable Zoho CRM as the system of record. We deliver the Automation Workflow Inventory document mapping each Marketing Star workflow to a recommended Zoho Workflow Rule or Blueprint equivalent. We support a one-week hypercare window where we resolve any reconciliation issues. Workflow rebuild in Zoho is a separate engagement; we do not configure Zoho Workflow Rules or Blueprints inside the migration scope.
