Overview

What this migration involves

Lawmatics organizes a law firm's pre-matter pipeline around Contacts, Companies, and Matters — each Matter carrying its own status, source, assigned attorney, and timeline of activities. Monday CRM models the same data as Items on board Groups: People items, Organization items, and deal-level Items with customizable Columns for every property. The migration carries Lawmatics contacts and companies into Monday's People and Organizations boards, converts Matter records into Items with Group placement governed by pipeline stage, and recreates Lawmatics custom fields as Monday columns. FlitStack AI pulls data via the Lawmatics REST API and loads it into Monday using their GraphQL API, respecting Monday's per-plan daily call limits (1,000/day on Basic/Standard, 10,000/day on Pro, 25,000/day on Enterprise). Workflows, automations, document merges, and e-signature routing configurations are not migratable — FlitStack exports the workflow definitions as JSON for Monday automations to be rebuilt by your team. A 24–48 hour delta window after the cutover captures any matters modified during the transition so Monday reflects Lawmatics' final state at go-live.

Why teams make this switch

Two sides of the same decision

Leaving

Lawmatics logo

Lawmatics

What's pushing teams away

  • Frequent UI changes alter automation node placement and workflow builder navigation, creating friction for users who have built muscle memory.
  • SMS feature lacks message history and filtering options, forcing staff to manage conversations outside the platform.
  • Time and billing is a separate paid add-on at $29 per user per month, so firms expecting it included feel a billing surprise.
  • Clunky interface compared to more modern CRMs, especially when managing large contact lists or building complex automations.
  • Contact export isolates contact-type fields from matter-type fields, so pulling a complete client picture requires two separate exports.

Choosing

monday CRM logo

monday CRM

What's pulling them in

  • Users praise the board-based visual interface for making pipeline stages immediately legible to non-technical team members without CRM training.
  • The no-code automation builder lets sales ops teams create lead routing, stage updates, and email triggers without developer involvement.
  • Integration ecosystem connects to Slack, Gmail, Outlook, and Zapier with minimal configuration, reducing friction for teams already using these tools.
  • The flexible column system lets teams build custom CRM views — deal value, close date, lead source — without needing a developer or pre-defined schema.
  • Teams already using monday Work Management can layer CRM features onto existing boards rather than starting from scratch.

Object mapping

How Lawmatics objects map to monday CRM

Each row shows how a Lawmatics object lands in monday CRM, including any object-level transformations, lookup resolution, or schema-design dependencies.

Typical mapping — final map is confirmed during the sample migration step.

Lawmatics

Contact

maps to

monday CRM

Person Item

1:1
Fully supported

Lawmatics contacts migrate as People items on the Monday CRM People board. Each Person item holds contact fields as columns. Monday does not have a separate lead/contact split — all contacts land in the same board, with status tracked via a Status Column.

Lawmatics

Company

maps to

monday CRM

Organization Item

1:1
Fully supported

Lawmatics company records become Organization items on Monday CRM's Organizations board. Organization items store business-level data as columns (website, industry, phone). Linked contacts reference their organization via the Link to Item Column. Each organization can be linked to multiple Person items representing employees or stakeholders, and the organization name appears as a filterable property across all Monday boards that include the Link column.

Lawmatics

Matter

maps to

monday CRM

Deal Item

1:1
Fully supported

Lawmatics matters — the primary revenue-tracking object — become deal Items on a Monday CRM pipeline board. Each Matter maps to one Item with all matter properties stored as Columns. Pipeline stage in Lawmatics determines which Monday Group the Item lands in; Matter status becomes a Status Column value.

Lawmatics

Pipeline Stage

maps to

monday CRM

Board Group

1:1
Fully supported

Lawmatics pipeline stages (Prospect, Consultation, Proposal, Signed, etc.) become Monday board Groups on the deal pipeline board. FlitStack maps each stage name to a Group; Matters with that stage populate the corresponding Group. Firms with multiple Lawmatics pipelines create one Monday board per pipeline.

Lawmatics

Custom Fields (Matter-level)

maps to

monday CRM

Custom Columns

1:1
Mapping required

Lawmatics Matter custom fields become Monday Columns on the deal board. Field types map to Monday column types: text fields to Text columns, dates to Date columns, pick-lists to Dropdown columns, and numeric fields to Number columns. Each board has its own column set — custom fields are not shared across boards.

Lawmatics

Custom Fields (Contact-level)

maps to

monday CRM

Custom Columns (People board)

1:1
Fully supported

Lawmatics contact custom fields migrate as Columns on the Monday CRM People board. Contact-specific properties like 'Practice Area' or 'Referral Source' become Dropdown or Text columns on People. Monday's column inheritance model does not share columns between boards — each board's columns are independent.

Lawmatics

Timeline Activity

maps to

monday CRM

Item Updates / Comments

1:1
Fully supported

Lawmatics timeline activities (calls, emails, notes, meetings) become Monday Item Updates and Comments. The activity type is preserved as a prefix in the Update text (e.g., '[Email] Subject line...'). Original timestamps and owner attribution are included in the update metadata. Monday does not natively categorize activity by type.

Lawmatics

Document / File

maps to

monday CRM

Item Attachment

1:1
Fully supported

Lawmatics file attachments on Matters and Contacts attach to the corresponding Monday Item. FlitStack humanizes Lawmatics machine-generated filenames (1357219.pdf → Motion for Private Process.pdf) during re-upload so team members recognize files without opening them. Monday's attachment limit is 250MB per file.

Lawmatics

Tag

maps to

monday CRM

Tag Column

1:1
Fully supported

Lawmatics tags applied to Contacts, Companies, or Matters migrate as Monday Tags on the relevant Items. Tags are a native column type in Monday CRM and render as labeled badges on Items. When multiple tags exist on a single record, each tag appears as a separate badge on the Item card. Tags support filtering across boards, allowing your team to view all Items sharing a specific tag regardless of which board they reside on, and tags are preserved during bulk updates and imports.

Lawmatics

User / Owner

maps to

monday CRM

Team Member

1:1
Fully supported

Lawmatics users and matter owners are resolved by email match against Monday workspace members. Unmatched owners are flagged before migration — your team either invites them to Monday first or assigns records to a fallback owner. Active user status is preserved as a boolean column on the person record.

Lawmatics

Workflow / Automation

maps to

monday CRM

Automation Recipes

1:1
Fully supported

Lawmatics automations cannot be migrated to Monday automations — the trigger-action logic, entry conditions, and Matter-status-based rules require manual rebuilding in Monday's Automation Recipes. FlitStack exports the workflow definitions as JSON so your Monday admin has a reference guide for recreation.

Lawmatics

Task

maps to

monday CRM

Subitem / Update

1:1
Fully supported

Lawmatics tasks attached to matters migrate as Monday subitems or item updates with the task description and due date preserved. Completed status maps to a Checkbox column value on the subitem. Each subitem inherits the parent Item's Group placement, keeping tasks visible within the same pipeline stage as the parent Matter. Open tasks without a due date retain a blank Date column, and subitems can be assigned to a specific Team Member column for responsibility tracking within the Monday board.

Lawmatics

Event / Appointment

maps to

monday CRM

Item Update

1:1
Fully supported

Lawmatics calendar events (appointments, consultations) migrate as Item updates with event details in the update body and the original event start/end datetime preserved in a custom Date column. The update body includes the event title, location, and attendee list from the original Lawmatics record. Original timestamps for when the event was created in Lawmatics are retained separately, and events are linked to the Matter Item that generated the calendar entry, allowing your team to see the full client interaction history within the same Monday Item view.

Pair-specific challenges

  • Monday API daily call limits can extend large migrations significantly

Monday enforces per-plan API daily limits: 200 on Free/Trial, 1,000 on Basic/Standard, 10,000 on Pro, and 25,000 on Enterprise. Lawmatics exports for firms with 10,000+ matters, contacts, and activities can require many thousands of API calls to fetch records, sub-resources, and files. FlitStack AI handles this by implementing paginated retrieval and retry logic that stays within Monday's daily budget, but large migrations may span multiple days of API calls rather than completing in a single batch window. Pro and Enterprise Monday accounts have higher limits, so upgrading the Monday plan before migration can materially shorten the timeline.

  • Lawmatics Matter pipeline stages require Monday Group pre-creation for correct item placement

Lawmatics matters derive their visual pipeline position from the pipeline_stage field value. Monday CRM has no equivalent single-field stage concept — pipeline stages become Board Groups, and each Group must exist before Items land in it. Firms with multiple Lawmatics pipelines need one Monday board per pipeline. FlitStack delivers a Group-and-board setup plan before migration so your Monday admin can pre-create the structure; Items that land in a non-existent Group will default to the first Group or go ungrouped, requiring manual correction after migration.

  • Contact-to-Company associations flatten to Monday Link columns without primary-company ranking

Lawmatics supports N:N relationships between contacts and companies — a single contact can be linked to multiple law firms or businesses simultaneously. Monday CRM's Person Items can use Link-to-Item columns to reference Organization Items, but there is no native concept of a primary vs. secondary company. FlitStack migrates the most recently modified Lawmatics company link as the primary Monday organization reference and surfaces the remaining company links as additional Link columns; your team decides which to display on the Person card.

  • Document filenames require humanization during re-upload to Monday

Lawmatics stores uploaded documents with machine-generated filenames (e.g. 1357219.pdf) while the human-readable document name lives in a separate display_name field. Monday stores files as Item attachments with the uploaded filename used as the display name. Without humanization, Monday users see files named with numeric IDs and cannot identify documents without opening each one. FlitStack AI humanizes Lawmatics filenames during re-upload by reading the display_name field and applying it as the file's actual name. This step is included in the standard migration scope.

  • Monday column types are board-specific — contact custom fields do not surface on deal boards without duplication

Lawmatics allows custom fields to be defined at the Contact, Company, or Matter level independently. Monday CRM columns exist per-board — a custom column created on the People board is not accessible on the Deals board. If your Lawmatics migration uses a contact custom field (e.g. 'Case Type') to drive deal filtering on the deal board, that column must be recreated as a separate column on the Deals board and populated by cross-referencing the linked Person item. FlitStack identifies these cross-board dependencies in the migration plan.

Migration approach

Six steps for a successful Lawmatics to monday CRM data migration

  1. Audit Lawmatics data model and export all record types via API

FlitStack AI authenticates against the Lawmatics REST API (v1.21.0) and exports all Contacts, Companies, Matters, Timeline Activities, Documents, Tags, Tasks, and Custom Field definitions. We pull the custom field schema first to determine which fields are standard vs. custom, their types, and their assignment level (Contact, Company, Matter, Practice Area). The export respects Lawmatics' pagination and returns all records including those with soft-deleted status flagged for archive review. Lawmatics document binary files are downloaded separately via the Files endpoint and stored temporarily for re-upload.

  2. Map pipeline stages to Monday board Groups and pre-create board structure

Before any data loads into Monday, FlitStack delivers a board-structure plan: one CRM board per Lawmatics pipeline, with Groups named after each pipeline stage. We identify all custom columns required on each board (People, Organizations, and deal boards) and the column types needed (Text, Number, Date, Dropdown, Checkbox, Link). Your Monday admin creates the boards and columns from the plan, or FlitStack creates them via the Monday GraphQL API using workspace admin credentials. Monday's per-board column model means each board's schema is built independently.

  3. Resolve Lawmatics owners and users by email against Monday workspace members

Lawmatics matter and contact owner IDs are resolved by email address match against Monday workspace Team Members. FlitStack generates a match report listing all matched owners, unmatched owners (Lawmatics users with no Monday account), and unmatched Monday users (Monday accounts with no Lawmatics owner). Your team resolves unmatched owners by either inviting them to the Monday workspace or assigning a fallback owner before the migration run. No record loads into Monday without a resolved owner to prevent orphaned Items.

  4. Run sample migration with field-level diff on a representative slice

A sample migration runs first against 100–500 representative records spanning contacts, organizations, matters across all pipeline stages, and a mix of activity types. FlitStack generates a field-level diff showing every mapped value from Lawmatics against the corresponding Monday column. Key verification points include: pipeline stage → Group mapping correctness, custom field column type accuracy, document name humanization, owner resolution, and Link column population for Person–Organization relationships. You review the diff before the full run commits.

  5. Execute full migration with delta-pickup window and post-migration validation

The full migration loads all records in dependency order: Organizations first, then People, then deal Items referencing those contacts and organizations. Monday API calls are distributed across the daily budget to avoid rate-limit errors. A 24–48 hour delta-pickup window after the cutover captures any Lawmatics records created or modified during the migration run. FlitStack generates a reconciliation report comparing record counts, field-populated rates, and Group distribution against the Lawmatics source data. Audit log captures every operation, and one-click rollback is available if reconciliation reveals data-integrity issues.

Platform deep dives

Context on both ends of the pair

Lawmatics logo

Lawmatics

Source

Strengths

  • Specialized legal automation covering lead scoring, follow-up sequencing, and appointment scheduling out of the box.
  • All-in-one platform combining CRM, intake, marketing, SMS, and time tracking in a single vendor relationship.
  • Generous contact limits on Premium (10,000) compared to the Essential tier (500), supporting mid-size firm growth.
  • Structured onboarding program with dedicated build calls and a guided checklist reduces time-to-value.
  • Live Zoom support hours every weekday provide direct access to Lawmatics staff for troubleshooting.

Weaknesses

  • Frequent UI changes disrupt established workflows, particularly in the automation builder node interface.
  • Contact export isolates contact fields from matter fields, requiring manual reconciliation for a complete client picture.
  • SMS feature lacks message history and basic filtering, limiting its usefulness for ongoing client conversations.
  • Time and billing is a separate paid add-on, not included in any core tier.
  • Interface feels dated compared to more modern CRM platforms, especially when managing large contact databases.

Strengths

  • Board-based UI makes pipeline stages and deal progress visually obvious without training.
  • No-code automation builder requires no developer resources to create lead routing and stage-triggered actions.
  • Flexible column system supports custom CRM fields without schema changes or admin involvement.
  • Integrates natively with Slack, Gmail, Outlook, and Zapier with minimal configuration overhead.
  • Layered product means teams already on monday Work Management can add CRM without migrating existing data.

Weaknesses

  • No native Contacts object separate from Items — contacts are managed inside a CRM module's People feature.
  • Pipeline and deal relationships use a flat item model rather than a relational object model, making complex CRM associations awkward.
  • Automations are plan-gated (250 actions/month on Standard, 25,000 on Pro) and the legacy Recipe system is being deprecated.
  • Customization and advanced views (Chart, Formula, Dependency) are locked behind Pro and Enterprise tiers.
  • Per-seat pricing with non-refundable annual billing creates cost lock-in risk during migration.

Most Lawmatics-to-Monday migrations complete in 48–72 hours for under 50,000 total records. Larger firms with 500,000+ records, 50+ custom fields, or multiple pipeline boards extend to 5–7 days. Monday's per-plan API daily call limits (1,000/day on Basic/Standard, 10,000/day on Pro) are the primary clock-time driver — upgrading your Monday plan before migration can materially shorten the timeline. The longest planning step is pre-creating Monday board Groups and columns to match the Lawmatics pipeline structure.
