The discovery output is a written migration scope covering record counts, field mapping, and automation inventory, plus confirmation of the notice period timeline.
Field mapping and Mailchimp account configuration
We map Ometria contact fields and custom properties to Mailchimp merge fields and Tags, flagging any properties that cannot map directly due to Mailchimp's type limitations. We configure the destination Mailchimp account: authenticate sending domain, set up SPF and DKIM records for deliverability, create the primary Audience, and configure merge field definitions. We also establish suppression import files for unsubscribed and bounced contacts from Ometria's suppression lists.
Segment and automation inventory
We export all Ometria segment definitions as logic documentation and apply static segment membership as Mailchimp Tags during the initial import. For dynamic segments, we document the rule logic for Mailchimp Customer Journey reconstruction. We inventory every Lifecycle Program with step-by-step structure, trigger conditions, delay rules, and branch logic, producing a written handoff document for the customer's admin team. This inventory step typically runs in parallel with data extraction and does not delay contact migration.
Contact and suppression list migration
We extract contacts from Ometria in batches and import into Mailchimp Audience using parallel API operations with rate-limit handling. We preserve consent status, opt-in timestamp, and opt-in source on each record. Suppression lists import before the first send to ensure bounced, unsubscribed, and blocked addresses do not receive email in the new account. We reconcile contact counts between Ometria export and Mailchimp import and investigate any delta over 1% before proceeding.
Template extraction and recreation
We extract Master Template HTML from Ometria and insert into Mailchimp Saved Templates, recreating the layout and structure for each template. We replace Ometria personalisation tokens with Mailchimp merge field syntax and run visual QA across desktop and mobile previews. Regular template slots (non-master templates) are documented separately for manual recreation since they do not transfer via Ometria's account migration process. The customer admin reviews and approves templates before any live send.
Cutover, validation, and automation rebuild handoff
We freeze Ometria writes during cutover, run a final delta migration of any contacts modified during the migration window, then set Mailchimp as the active sending platform.
