Mekari Qontak to Mailchimp is a lateral-capability migration in one dimension and a significant capability reduction in another. Qontak is an omnichannel CRM centered on WhatsApp Business API with embedded sales (Deals) and service (Tickets) modules; Mailchimp is a permission-based email marketing platform with audience management, automation, and campaign analytics. We migrate the overlapping data — Contacts, company associations, and custom Contact properties — and flag the objects that cannot move because Mailchimp does not support them: Deals, Tickets, pipeline stages, chatbot flows, WhatsApp templates tied to the Qontak-hosted WABA account, and automation workflows. We do not migrate WhatsApp message history or broadcast campaign receipts because Qontak stores these in its channel layer, not the CRM API. The discovery output is a written scope document confirming what migrates, what documents, and what has no Mailchimp equivalent — with explicit sign-off required before migration begins.
Mailchimp audience schema setup
We pre-create Mailchimp Audiences matching the Qontak list structure (one Audience per Qontak list or segmented group). We create merge fields in Mailchimp for all migratable Qontak custom properties, using the correct field types (text, number, date, address, phone). Long-text properties are flagged with truncation notes. Tags are defined for company associations and any multi-value Qontak properties. This schema is validated in Mailchimp before any contact import begins.
Contact export with deduplication
We extract Contacts from Qontak via the Mekari API or UI-based export, applying deduplication by email address before import. The most recently updated Qontak record wins for email duplicates. We preserve opt-in status, tags (from Qontak label or list membership), and all custom property values. We resolve company associations using the Company name from Qontak as a merge field value. The export is staged as a CSV in the correct Mailchimp import format.
Contact import into Mailchimp Audiences
We import contacts into Mailchimp via the Mailchimp API with batch chunking (500 members per batch) and rate-limit handling. Each batch is validated for required field presence (email address) and merge field format compliance before submission. After import, we reconcile row counts between Qontak export and Mailchimp Audience membership and investigate any discrepancies above 1 percent.
Segment rebuild documentation and automation inventory delivery
We deliver the Qontak segment criteria as written rebuild guides (screen-by-screen instructions for Mailchimp's segment builder) and the Qontak Workflow inventory as a written document with trigger-action mapping and Mailchimp automation equivalents. The customer uses these documents to rebuild segments and automations in Mailchimp post-migration. We do not rebuild these in Mailchimp as part of the migration scope.
Cutover, validation, and WhatsApp offboarding coordination
We run a final delta export of any Qontak contacts modified during the migration window, import them to Mailchimp, and freeze Qontak writes. We submit the WhatsApp Business API offboarding request to Qontak support on the customer's behalf and provide the WhatsApp template JSON export with re-registration instructions. We validate the Mailchimp Audience record counts, spot-check 25-50 records for field accuracy, and hand off to the customer's team for automation and segment rebuild using the delivered documentation.
