  • Mailchimp has no Deals, Tickets, or pipeline tracking

    Qontak is a full CRM with Deals and Tickets; Mailchimp is an email marketing platform. Teams moving to Mailchimp lose all pipeline stage history, deal values, probabilities, ticket status, and agent assignment data because these objects do not exist in Mailchimp. We preserve what we can as merge fields and tags, but Mailchimp cannot replace Qontak as a sales or service tool. Before migrating, the customer must confirm whether Deals and Tickets data is needed in a separate destination (a dedicated CRM) or whether it is acceptable to document these as static records for reference only.

  • WhatsApp Business API number and templates cannot transfer to Mailchimp

    The WABA number registered through Qontak is tied to Qontak's Meta Business Manager and cannot be offboarded and transferred to Mailchimp. The WhatsApp number offboarding process requires emailing Qontak support and releasing the number separately from Meta Business Manager. WhatsApp message templates approved under Qontak's WABA are not portable; they must be re-registered in a new WABA at the destination platform or ported via Meta Business Manager if the customer qualifies. We handle the Qontak offboarding request and export all template definitions before the number is released, but the customer must set up a new WhatsApp Business API account independently.

  • Qontak SSO password changes cascade across Mekari accounts

    Qontak migrated to a Single Sign-On system where one email equals one password across all Mekari products (Qontak, Mekari Talenta, Mekari Jurnal, Mekari Sign). If the customer changes the Qontak password to initiate the migration export, the new password applies to all other Mekari accounts using the same email. We recommend coordinating password changes across the customer's Mekari product suite before migration begins to avoid unintentional lockouts.

  • Mailchimp merge fields are limited to 255 characters

    Mailchimp's text merge fields have a 255-character maximum. Qontak custom Contact properties that store long-form text (meeting notes, conversation summaries, multi-line addresses) exceed this limit and cannot map directly. We flag long-text properties during scoping, truncate where the data loss is acceptable, or map these to Mailchimp tags with a character-count notation for the customer's admin to review post-migration.

  • Qontak broadcast history is not accessible via the CRM API

    Email and WhatsApp broadcast campaign history (sent timestamps, delivery receipts, open rates, click rates) is stored in Qontak's channel layer, not in the CRM API. We do not migrate historical campaign records. We can export the Broadcast Reports page (campaign name, sent date, status counts, customer-level detail) from Qontak's Reports tab as a CSV, but this is a reference export rather than an automated Mailchimp import of engagement metrics. Post-migration, the customer's email engagement data begins fresh in Mailchimp.

Migration approach

Six steps for a successful Mekari Qontak to Mailchimp data migration

  1. Discovery and scope confirmation

    We audit the source Qontak account for Contacts (total count and duplicate analysis), Companies (count and list membership distribution), custom Contact properties (schema with data types and value distributions), dynamic segment criteria, active Workflows, and WhatsApp template count. We also verify the Qontak plan tier to confirm available export options (API vs UI-based export). The discovery output is a written scope document confirming what migrates, what documents, and what has no Mailchimp equivalent — with explicit sign-off required before migration begins.

  2. Mailchimp audience schema setup

    We pre-create Mailchimp Audiences matching the Qontak list structure (one Audience per Qontak list or segmented group). We create merge fields in Mailchimp for all migratable Qontak custom properties, using the correct field types (text, number, date, address, phone). Long-text properties are flagged with truncation notes. Tags are defined for company associations and any multi-value Qontak properties. This schema is validated in Mailchimp before any contact import begins.

  3. Contact export with deduplication

    We extract Contacts from Qontak via the Mekari API or UI-based export, applying deduplication by email address before import. The most recently updated Qontak record wins for email duplicates. We preserve opt-in status, tags (from Qontak label or list membership), and all custom property values. We resolve company associations using the Company name from Qontak as a merge field value. The export is staged as a CSV in the correct Mailchimp import format.

  4. Contact import into Mailchimp Audiences

    We import contacts into Mailchimp via the Mailchimp API with batch chunking (500 members per batch) and rate-limit handling. Each batch is validated for required field presence (email address) and merge field format compliance before submission. After import, we reconcile row counts between Qontak export and Mailchimp Audience membership and investigate any discrepancies above 1 percent.

  5. Segment rebuild documentation and automation inventory delivery

    We deliver the Qontak segment criteria as written rebuild guides (screen-by-screen instructions for Mailchimp's segment builder) and the Qontak Workflow inventory as a written document with trigger-action mapping and Mailchimp automation equivalents. The customer uses these documents to rebuild segments and automations in Mailchimp post-migration. We do not rebuild these in Mailchimp as part of the migration scope.

  6. Cutover, validation, and WhatsApp offboarding coordination

    We run a final delta export of any Qontak contacts modified during the migration window, import them to Mailchimp, and freeze Qontak writes. We submit the WhatsApp Business API offboarding request to Qontak support on the customer's behalf and provide the WhatsApp template JSON export with re-registration instructions. We validate the Mailchimp Audience record counts, spot-check 25-50 records for field accuracy, and hand off to the customer's team for automation and segment rebuild using the delivered documentation.
