Overview

What this migration involves

Moving from Optimiser CRM to Monday.com CRM is a structural migration that moves data from a platform with no public API into a board-based CRM with a documented REST API. Optimiser exports data through a built-in CSV utility that requires pagination across multiple export runs for large datasets. Monday.com CRM models Accounts as Companies and Contacts as People, and Deals as separate board items with their own pipeline columns. We resolve the object naming and relationship model during scoping, clean and normalize data exported from Optimiser, and import into the corresponding Monday.com CRM entities. Automation rules built in Optimiser do not migrate; we deliver a written inventory of every automation the customer identifies for their admin to rebuild using Monday.com's no-code automation builder. Custom fields in Optimiser require individual review since each instance maintains its own schema, and fields with zero data are excluded to avoid creating dead columns in Monday.com.

Field-level fidelity

Every standard and custom field arrives verified.

Schema-aware mapping

AI proposes the map; you confirm before any record moves.

Relationships preserved

Parent–child, lookups, and ownership stay linked.

Full activity history

Calls, emails, meetings — with original timestamps.

Attachments & notes

Documents, uploads, and inline notes move with the record.

Why teams make this switch

Two sides of the same decision

Leaving

Optimiser CRM logo

Optimiser CRM

What's pushing teams away

  • Data import is repeatedly cited as a weak point in reviews — small businesses migrating from spreadsheets or another CRM hit friction during onboarding.
  • Outlook integration depth varies by reviewer; some report automated email-report syncing does not work as expected, forcing manual exports.
  • UI is described as 'could be slightly more user-friendly' — fine for daily use but not as polished as Pipedrive, HubSpot, or Zoho CRM at similar price points.
  • Bank-transfer-only billing complicates procurement for buyers outside the UK or those used to monthly card billing.
  • Small G2/Capterra review footprint and a UK-centric ecosystem mean buyers outside the UK have limited reference customers and partner availability.

Choosing

monday CRM logo

monday CRM

What's pulling them in

  • Users praise the board-based visual interface for making pipeline stages immediately legible to non-technical team members without CRM training.
  • The no-code automation builder lets sales ops teams create lead routing, stage updates, and email triggers without developer involvement.
  • Integration ecosystem connects to Slack, Gmail, Outlook, and Zapier with minimal configuration, reducing friction for teams already using these tools.
  • The flexible column system lets teams build custom CRM views — deal value, close date, lead source — without needing a developer or pre-defined schema.
  • Teams already using monday Work Management can layer CRM features onto existing boards rather than starting from scratch.

Object mapping

How Optimiser CRM objects map to monday CRM

Each row shows how a Optimiser CRM object lands in monday CRM, including any object-level transformations, lookup resolution, or schema-design dependencies.

Typical mapping — final map is confirmed during the sample migration step.

Optimiser CRM

Contact

maps to

monday CRM

People

1:1
Fully supported

Optimiser CRM Contacts map to Monday.com CRM People entities. Standard fields (name, email, phone, address) map to Monday.com's built-in People columns. Optimiser custom fields on Contacts require individual review during scoping; we create equivalent custom columns in Monday.com and map values field-by-field. Fields with zero data across all records are excluded to avoid creating dead columns. The email field on People serves as the dedupe key during import.

Optimiser CRM

Company

maps to

monday CRM

Company

1:1
Fully supported

Optimiser CRM Company records map directly to Monday.com CRM Companies. The company name becomes the Company entity name, and any associated domain or website data maps to the Company details columns. Company records are imported before People records so that any Person-to-Company association is resolved at the moment of Person insert.

Optimiser CRM

Deal

maps to

monday CRM

Deal

1:1
Fully supported

Optimiser CRM Deals map to Monday.com CRM Deals with their associated pipeline stage, value, expected close date, and owner. Pipeline stage names from Optimiser (which are configurable per instance) map to Monday.com's Status column values on the Deals board. We apply a stage-mapping table during migration rather than assuming identical stage names. Closed-Lost and Closed-Won states from Optimiser map to Monday.com's Done group with the appropriate status label.

Optimiser CRM

Pipeline

maps to

monday CRM

Pipeline Board

lossy
Fully supported

Optimiser's configurable pipeline stages become Monday.com's Pipeline boards with Status columns representing each stage. We extract the full stage list from Optimiser, map each stage to a Monday.com Status column value, and configure the pipeline view in Monday.com before Deal import begins. Stages with zero records in Optimiser are flagged and can be excluded from the Monday.com pipeline configuration.

Optimiser CRM

Lead

maps to

monday CRM

People (Lead segment)

1:1
Fully supported

Optimiser Lead records (with status, source, and score fields) map to Monday.com CRM People entities in a separate Leads section or filtered view. Monday.com does not have a distinct Lead object separate from People; we use a custom Status column or a separate board to distinguish pre-qualified Leads from qualified People. The customer's preference is captured during scoping and applied as a naming convention and filter.

Optimiser CRM

Activity (calls, emails, meetings, notes)

maps to

monday CRM

Emails & Activities

1:1
Fully supported

Optimiser Activity records (calls, emails, meetings, tasks, notes) logged against Contacts or Deals migrate to Monday.com's activity timeline on the corresponding People or Deal entity. We import activities in chronological order and associate them to the correct parent record by matching the Optimiser contact or deal reference to the Monday.com entity ID. Note content migrates as Updates or as a linked Document column depending on volume.

Optimiser CRM

Custom Field (Contacts, Companies, Deals)

maps to

monday CRM

Custom Column

lossy
Fully supported

Optimiser custom fields are instance-specific with no standard reference schema. Before migration, we request a field inventory from the customer or perform a trial export to enumerate every active custom field. We map each custom field to the nearest Monday.com column type (Text, Number, Date, Dropdown, Checkbox, etc.) and create the corresponding column in the destination before data import. Multi-select values from Optimiser map to Monday.com's Tags or Dropdown columns.

Optimiser CRM

User / Owner

maps to

monday CRM

Team Member

1:1
Fully supported

Optimiser User records carry name, email, and role. We map Optimiser users to Monday.com team members by email address to preserve owner assignment on Deals and to assign activities to the correct person in Monday.com. Users without an existing Monday.com account go to a reconciliation queue for the customer's admin to provision before record import resumes.

Optimiser CRM

Document / Attachment

maps to

monday CRM

File Column or URL Column

lossy
Fully supported

Document attachments referenced by URL in Optimiser migrate to Monday.com URL columns on the parent entity. Files stored in Optimiser's file store are downloaded locally, then re-uploaded to Monday.com as File column attachments linked to the correct People or Deal entity. File migration is performed after the parent record exists in Monday.com to ensure the association is satisfied.

Optimiser CRM

Tag / Label

maps to

monday CRM

Tags Column

lossy
Fully supported

Tags applied to Contacts or Deals in Optimiser export as label values. We migrate tags as-is and create matching Tags column sets in Monday.com CRM on the People and Deal entities. The customer chooses whether to create separate tag columns per entity or a single cross-entity tag taxonomy during scoping.

Pair-specific challenges

  • Optimiser CRM has no public API; data export requires CSV pagination

Optimiser CRM does not publish a documented REST API or bulk export endpoint. We extract data via the platform's built-in CSV export utility, which imposes a record count limit per export run and requires pagination across multiple sequential exports for large datasets. We automate this pagination to ensure complete record coverage, but customers with high record volumes should expect scoping to include a trial export run to measure pagination count and estimate extraction time. Any integrations connected to Optimiser via unofficial API access will need to be reconnected to Monday.com after migration.

  • Monday.com CRM Deals do not auto-link to People without configuration

Monday.com CRM uses separate entities for People, Companies, and Deals, and the association between a Deal and its primary contact must be configured explicitly. We set up the Deal-Person link during migration using Monday.com's relation column type. However, Deals in Monday.com can have multiple contacts, and the primary contact designation may differ from how Optimiser modelled the relationship. We flag this distinction during scoping and apply the customer's preferred convention (e.g., first activity date, highest deal value) to set the primary contact on each Deal.

  • Automation rules do not migrate; Monday.com equivalents require manual rebuild

Workflows, assignment rules, and triggered sequences built in Optimiser are stored in the platform's proprietary logic layer and are not accessible via export. We do not migrate automations as code. We deliver a written inventory of every automation the customer identifies during scoping, with the trigger, conditions, and actions documented and mapped to a recommended Monday.com automation equivalent using Monday.com's no-code automation builder. Each automation typically requires 1-2 hours of rebuild time for the customer's admin.

  • Monday.com plan quotas affect automations and integrations

Monday.com CRM Basic ($12/seat) includes automations and integrations but with action limits that vary by plan. Reviewers and implementation partners note that Standard-plan teams quickly hit integration action limits when running automated workflows on high-volume CRM data (e.g., 500 integration actions per month can be exhausted in a single day for a 50-person team). We flag the customer's expected automation volume during scoping and advise whether Pro ($28/seat) is required before migration begins to avoid post-migration quota issues.

  • Custom field schema requires individual review per Optimiser instance

Each Optimiser CRM instance defines its own custom fields on standard objects, and there is no standard reference schema. Before migration, we request a field inventory from the customer or perform a trial export to enumerate every active field. Fields with zero data are excluded to avoid creating dead columns in Monday.com. Custom field naming conventions in Optimiser may not map directly to Monday.com column types, so each field requires a type-mapping decision during the scoping phase.

Migration approach

Six steps for a successful Optimiser CRM to monday CRM data migration

  1. Scoping and Optimiser field inventory

We audit the source Optimiser CRM instance to enumerate all active objects (Contacts, Companies, Deals, Leads, Activities), custom fields, pipeline stages, and user accounts. Since Optimiser has no API, we request a trial CSV export or guide the customer through a manual export run to capture a field inventory. We document every automation the customer is aware of and identify the tag and label taxonomy used across records. The scoping output is a written migration scope, a field-mapping table, and a Monday.com plan recommendation based on automation volume and integration requirements.

  2. Monday.com CRM workspace setup

We provision the Monday.com CRM workspace or create a dedicated CRM board structure if the customer already uses Monday.com Work Management. This includes creating the People, Companies, and Deals entities, configuring the pipeline board with the stage-mapping table derived from Optimiser, creating custom columns for every Optimiser custom field, and setting up the Tags taxonomy. If the customer chooses to migrate existing Monday.com Work Management boards into CRM (Option 1 from monday.com's own migration guide), we configure the CRM features on top of the existing boards. If the customer chooses to rebuild on CRM entities (Option 2), we set up fresh CRM entities and configure the board structure from scratch.

  3. CSV extraction and data cleaning

We run automated CSV extraction from Optimiser CRM, paginating across multiple export runs to capture all records. The CSV exports are cleaned and normalized: duplicate records are merged or flagged, phone number formats are standardized, country codes are unified to ISO format, and lifecycle or status values are mapped to the Monday.com column equivalents. Data cleaning typically reduces migration volume by 20-30% and is performed before any Monday.com import begins. We produce a pre-migration data quality report for the customer's review.

  4. Sandbox validation and mapping sign-off

We run a full migration into a Monday.com Sandbox or a temporary workspace for validation. The customer reconciles record counts (People in, Companies in, Deals in, Activities in), spot-checks 25-50 random records against the Optimiser source, and signs off the field-mapping table before production migration begins. Any custom field type corrections, pipeline stage renames, or tag taxonomy adjustments happen during this validation pass, not in production.

  5. Production migration in dependency order

We run production migration in record-dependency order: Companies first (since People can link to them), then People (with Company association resolved), then Deals (with Person and Company associations resolved), then Activities (with parent Person or Deal ID resolved). Document attachments are downloaded from Optimiser and re-uploaded to Monday.com after the parent record exists. Each phase emits a row-count reconciliation report before the next phase begins. We use Monday.com's native import UI for smaller datasets and the Monday.com API for larger batch imports with rate-limit handling.

  6. Cutover, validation, and automation rebuild handoff

We freeze Optimiser CRM writes during cutover, run a final delta migration of any records modified during the migration window, then enable Monday.com CRM as the system of record. We deliver the automation inventory document to the customer's admin team, with each automation documented with its trigger, conditions, actions, and recommended Monday.com automation builder equivalent. We support a one-week hypercare window where we resolve any reconciliation issues raised by the customer's team. We do not rebuild Optimiser automations in Monday.com as part of the migration scope; that is a separate engagement or an internal admin task.

Strengths

  • Board-based UI makes pipeline stages and deal progress visually obvious without training.
  • No-code automation builder requires no developer resources to create lead routing and stage-triggered actions.
  • Flexible column system supports custom CRM fields without schema changes or admin involvement.
  • Integrates natively with Slack, Gmail, Outlook, and Zapier with minimal configuration overhead.
  • Layered product means teams already on monday Work Management can add CRM without migrating existing data.

Weaknesses

  • No native Contacts object separate from Items — contacts are managed inside a CRM module's People feature.
  • Pipeline and deal relationships use a flat item model rather than a relational object model, making complex CRM associations awkward.
  • Automations are plan-gated (250 actions/month on Standard, 25,000 on Pro) and the legacy Recipe system is being deprecated.
  • Customization and advanced views (Chart, Formula, Dependency) are locked behind Pro and Enterprise tiers.
  • Per-seat pricing with non-refundable annual billing creates cost lock-in risk during migration.

Most migrations land between three and five weeks for accounts under 15,000 Contacts and 3,000 Deals with a clean CSV export and minimal custom field complexity. Migrations with large multi-export pagination runs, extensive custom field review (50+ custom fields), Deals-to-People dependency chains, or existing Monday.com Work Management boards that require restructuring move to seven to ten weeks because of extraction time, cleaning scope, and Monday.com board configuration. Monday.com's own migration guide estimates three to six months for complex enterprise implementations, but certified partners typically deliver focused CRM-only migrations faster.
