Moving from Optimiser CRM to Monday.com CRM is a structural migration that moves data from a platform with no public API into a board-based CRM with a documented REST API. Optimiser exports data through a built-in CSV utility that requires pagination across multiple export runs for large datasets. Monday.com CRM models Accounts as Companies and Contacts as People, and Deals as separate board items with their own pipeline columns. We resolve the object naming and relationship model during scoping, clean and normalize data exported from Optimiser, and import into the corresponding Monday.com CRM entities. Automation rules built in Optimiser do not migrate; we deliver a written inventory of every automation the customer identifies for their admin to rebuild using Monday.com's no-code automation builder. Scoping and Optimiser field inventory
We audit the source Optimiser CRM instance to enumerate all active objects (Contacts, Companies, Deals, Leads, Activities), custom fields, pipeline stages, and user accounts. Since Optimiser has no API, we request a trial CSV export or guide the customer through a manual export run to capture a field inventory. We document every automation the customer is aware of and identify the tag and label taxonomy used across records. The scoping output is a written migration scope, a field-mapping table, and a Monday.com plan recommendation based on automation volume and integration requirements.
Monday.com CRM workspace setup
We provision the Monday.com CRM workspace or create a dedicated CRM board structure if the customer already uses Monday.com Work Management. This includes creating the People, Companies, and Deals entities, configuring the pipeline board with the stage-mapping table derived from Optimiser, creating custom columns for every Optimiser custom field, and setting up the Tags taxonomy. If the customer chooses to migrate existing Monday.com Work Management boards into CRM (Option 1 from monday.com's own migration guide), we configure the CRM features on top of the existing boards. If the customer chooses to rebuild on CRM entities (Option 2), we set up fresh CRM entities and configure the board structure from scratch.
CSV extraction and data cleaning
We run automated CSV extraction from Optimiser CRM, paginating across multiple export runs to capture all records. The CSV exports are cleaned and normalized: duplicate records are merged or flagged, phone number formats are standardized, country codes are unified to ISO format, and lifecycle or status values are mapped to the Monday.com column equivalents. Data cleaning typically reduces migration volume by 20-30% and is performed before any Monday.com import begins. We produce a pre-migration data quality report for the customer's review.
Sandbox validation and mapping sign-off
We run a full migration into a Monday.com Sandbox or a temporary workspace for validation. The customer reconciles record counts (People in, Companies in, Deals in, Activities in), spot-checks 25-50 random records against the Optimiser source, and signs off the field-mapping table before production migration begins. Any custom field type corrections, pipeline stage renames, or tag taxonomy adjustments happen during this validation pass, not in production.
Production migration in dependency order
We run production migration in record-dependency order: Companies first (since People can link to them), then People (with Company association resolved), then Deals (with Person and Company associations resolved), then Activities (with parent Person or Deal ID resolved). Document attachments are downloaded from Optimiser and re-uploaded to Monday.com after the parent record exists. Each phase emits a row-count reconciliation report before the next phase begins. We use Monday.com's native import UI for smaller datasets and the Monday.com API for larger batch imports with rate-limit handling.
Cutover, validation, and automation rebuild handoff
We freeze Optimiser CRM writes during cutover, run a final delta migration of any records modified during the migration window, then enable Monday.com CRM as the system of record. We deliver the automation inventory document to the customer's admin team, with each automation documented with its trigger, conditions, actions, and recommended Monday.com automation builder equivalent. We support a one-week hypercare window where we resolve any reconciliation issues raised by the customer's team. We do not rebuild Optimiser automations in Monday.com as part of the migration scope; that is a separate engagement or an internal admin task.
