Moving from LeadSmart Channel Cloud to Mailchimp is a deliberate platform narrowing: you are trading a purpose-built Salesforce-based channel sales CRM for a contact-centric email marketing platform. We pair this with a Mailchimp account audit to identify existing audience structures, merge fields, tags, and active campaigns. The discovery output is a written migration scope that explicitly lists which records migrate, which are excluded, and which require a manual rebuild in Mailchimp.
Merge field schema design for Mailchimp
We design the Mailchimp audience schema based on the LeadSmart custom field inventory. Standard LeadSmart Contact fields (name, email, phone, address, title) map directly. Account-derived fields (company name, industry) become text merge fields. Lead status and Partner Portal role labels become text or dropdown merge fields. We flag any LeadSmart custom fields that cannot be represented as Mailchimp merge field types (such as multi-select picklists or formula fields) and offer either a simplified mapping or a supplementary CSV export for those data points.
Test migration to Mailchimp test audience
We run a full migration into a Mailchimp test audience using a representative sample of production data (typically 10-15% of total records). The customer's marketing lead reviews the mapped contacts, verifies merge field values, spot-checks segmentation logic, and confirms that email opt-in status migrated correctly. Any field mapping corrections happen in the test phase before the production audience migration begins.
Contact and Lead migration to production audience
We migrate all LeadSmart Contact and Lead records into the production Mailchimp audience. Email address is the dedupe key. We resolve any duplicate email addresses (LeadSmart sometimes has multiple contacts with the same email) using a customer-defined resolution rule (prefer Contact over Lead, prefer most recently updated, or keep both as separate contacts with tag disambiguation). Email opt-in and opt-out status from LeadSmart maps to Mailchimp's marketing permissions fields. Records without valid email addresses are held in a reconciliation file for the customer's team to clean.
Campaign history and template handoff
We migrate historical Mailchimp campaign send data from LeadSmart's campaign records to Mailchimp's campaign history if email send logs are available in exportable format. Campaign names, send dates, and recipient counts transfer to Mailchimp's campaign archive. Actual email template content (HTML, images, styling) migrates only if the customer provides the source template files; otherwise we document the campaign names and template structure for manual rebuild in Mailchimp's template editor.
Automation inventory delivery and cutover
We deliver the automation inventory document listing every active LeadSmart workflow, its trigger, conditions, and actions, with a recommended Mailchimp journey equivalent. We freeze LeadSmart as the system of record during cutover, run a final delta migration of any contacts modified during the migration window, then designate Mailchimp as the primary email marketing platform. We support a five-business-day hypercare window to resolve any data quality issues surfaced during cutover. We do not rebuild LeadSmart automations as Mailchimp journeys inside the migration scope; that is a separate rebuild engagement for the customer's marketing team.
