GoHighLevel environment setup
We configure the GoHighLevel destination environment before any data moves. This includes creating the Location hierarchy (mapped from ClientTether's brand account and franchise owner structure), configuring Pipelines and Stages (matched to ClientTether's pipeline names and stage ordering), pre-creating all custom fields per object, setting up tag categories, and configuring the contact and lead field schemas. We run a sandbox-level test migration with a subset of records to validate the schema mapping before committing to production migration.
Hierarchy remapping and location configuration
We remap ClientTether's franchise-owner hierarchy to GoHighLevel Locations. Brand accounts map to top-level Locations; franchise owner accounts map to child Locations under their respective brand; FBC structures map to team members or contact tags for operational segmentation. We configure sub-account sharing settings so that pipeline access aligns with the original account-level isolation in ClientTether. This step requires the customer's input on which franchise relationships should be preserved versus restructured at the destination.
Record migration in dependency order
We migrate records in strict dependency order: Locations first (for hierarchy), then Contacts and Leads (with location assignment resolved), then Accounts (as Location references), then Pipelines and Stages, then Opportunities (with Deal data mapped and OwnerId resolved), then Proposals and Work Orders (with Work Orders staged after Opportunities), then Tags, email sequence enrollment data, and call logs. Each phase emits a row-count reconciliation report before the next phase begins. We use GoHighLevel's REST API with rate-limit handling and batch chunking to maintain data integrity across large record sets.
Automation inventory and workflow rebuild handoff
We deliver a written automation inventory that documents every active ClientTether workflow, including its trigger conditions, action steps, delay logic, and tag-based criteria. This document serves as the rebuild specification for GoHighLevel's visual workflow builder. The customer's admin or a GoHighLevel specialist uses this inventory to reconstruct each automation. We do not rebuild automations as code inside the migration scope. Email sequences are documented separately with step content and timing for reconstruction in GoHighLevel's workflow email sequence builder.
Cutover, validation, and post-migration support
We freeze ClientTether writes during cutover, run a final delta migration of any records modified during the migration window, and validate the GoHighLevel environment against the source record counts. We perform spot-checks on fifty records per object to confirm field-level accuracy and hierarchy linkage. We deliver the final reconciliation report and handoff package, then provide a one-week hypercare window for the customer's team to identify and report any data issues. We do not provide post-migration admin support or workflow rebuild as standard scope; these are separate engagements.
