    Ploomes Contacts commonly store Brazilian CNPJ (company tax ID) and CPF (individual tax ID) in native or custom fields. Mailchimp has no standard merge field for tax identification numbers. We preserve CNPJ/CPF values in a custom TEXT merge field (e.g., CNPJ_CPF) that the customer creates before migration. This field can be used for segmentation and personalization but is not used by Mailchimp's built-in features. Teams in regulated industries requiring this data for compliance should verify that storing it in Mailchimp's environment meets their data residency and privacy requirements.

  • Deals, pipeline stages, and quote data cannot migrate to Mailchimp

    Mailchimp is an email marketing platform and has no deal tracking, pipeline management, or quoting functionality. All Ploomes Deals, Pipeline Stages, Quotes, Orders, and Products are excluded from migration. The migration delivers these records as CSV exports in a separate handoff package, but the customer must rebuild deal management in a separate tool if it remains necessary. We flag this prominently during discovery because teams sometimes assume that 'CRM features' in Mailchimp replace Ploomes pipeline management, which they do not.

  • Ploomes API pagination requires chunked extraction across all contact endpoints

    The Ploomes API returns a maximum of 300 records per request for Contacts, Deals, Cities, Tasks, and Orders. When the contact database exceeds 300 records, we implement cursor-based pagination loops to retrieve all pages before transforming and loading into Mailchimp. We detect total record counts during discovery before beginning extraction so we can plan batch sizing. Failure to paginate correctly results in truncated exports and silent data loss.   • Mailchimp merge field limit of 40 per audience constrains highly customized schemas

    Mailchimp imposes a hard limit of 40 merge fields per Audience. Ploomes custom fields can exceed this if the team has added many bespoke fields for Brazilian business context (CNPJ, Inscrição Estadual, Segmento, Região, among others). We audit all custom field definitions during discovery and alert the customer if their combined standard + custom field count exceeds 40. In these cases we prioritize the highest-value fields and document the remainder for manual post-migration entry or for a second audience split.

  • Ploomes Workflows are not exported via the public API

    Ploomes Workflow module definitions (rules, SLAs, checklists, approval chains) are inaccessible through the documented public REST API. We cannot export them as part of the migration. We perform a manual workflow audit during discovery, document every active workflow with its trigger conditions and actions, and deliver a Workflow Audit Checklist. The customer rebuilds automation logic in Mailchimp Customer Journeys or a dedicated automation tool. This limitation is not specific to the Mailchimp destination; it applies to any migration away from Ploomes.

Migration approach

Six steps for a successful Ploomes CRM to Mailchimp data migration

  1. Discovery and contact audit

    We audit the Ploomes CRM account to establish total record counts across Contacts, Companies, Deals, Quotes, Tags, and Custom Fields. We confirm admin-level API access via Administration > Integrations (required for User-Key authentication), detect the full custom field schema via GET /Fields, and count total Contacts to plan API pagination batch sizing. We also identify which Ploomes Contacts have CNPJ/CPF values in standard or custom fields and flag any schemas exceeding Mailchimp's 40-merge-field limit.

  2. Custom field and audience schema design

    We map each Ploomes standard and custom field to a corresponding Mailchimp merge field, creating custom TEXT, NUMBER, DATE, or ADDRESS merge fields in the destination Mailchimp Audience before any contact data is imported. We create all relevant Tags (matching Ploomes tag names) and configure the COMPANY merge field for company-name segmentation. Any fields exceeding the 40-merge-field limit are flagged and prioritized; overflow fields are documented for manual post-migration entry.

  3. Paginated contact extraction from Ploomes

    We extract all Ploomes Contacts through paginated API requests against the 300-record cap. Each page is retrieved in sequence using the Ploomes pagination cursor, with exponential backoff on rate-limit responses. Extracted records include all standard properties, all custom field values, tag associations, and owner name. Company names are resolved from the Contact-Company relationship and attached as the COMPANY merge field. The extraction outputs a normalized JSON or CSV feed ready for Mailchimp upsert.

  4. Company record export and contact-company association

    We export the full Ploomes Companies list as a separate CSV inventory including Company Name, CNPJ, address, phone, and owner. This inventory is delivered as a reference document alongside the contact migration and is not imported into Mailchimp as separate records. Company names are mapped to the Mailchimp COMPANY merge field on each related contact during the contact import phase so teams retain company-level segmentation capability in Mailchimp.

  5. Audience member upsert into Mailchimp

    We upsert contact records into the Mailchimp Audience using Mailchimp's POST /lists/{list_id}/members endpoint with status updates for existing subscribers. Batch upserts of up to 500 members per call are used to minimize API calls. Tags are applied in a secondary pass using POST /lists/{list_id}/members/{subscriber_hash}/tags. Each upsert batch is reconciled against the source Ploomes contact count before proceeding to the next batch. Owner names are written to the OWNER_NAME merge field on each contact.

  6. Cutover, validation, and handoff

    We freeze write access to the Ploomes account during the final cutover window, run a delta extraction of any contacts modified since the initial export, upsert the delta into Mailchimp, and run a reconciliation report comparing Mailchimp audience count against the total Ploomes contact count. We deliver the Deal, Quote, Company, and Workflow handoff documents. We do not rebuild Ploomes Workflows in Mailchimp Customer Journeys as part of the migration scope; this is a separate automation rebuild engagement. Post-migration validation checks include email deliverability testing on a sample of migrated contacts and tag-coverage verification against the original Ploomes tag list.
