Overview
Migrating from Ploomes CRM to Mailchimp is a structural simplification: you are moving from a full B2B sales CRM with pipeline management, proposal automation, and CNPJ/CPF identification tracking into an email marketing platform whose CRM features extend to contact lists, tags, and basic custom fields. We extract Ploomes Contacts through paginated API calls against the 300-record cap, normalize company data into contact records, and map custom field values to Mailchimp merge fields or custom properties. Deals, Pipeline Stages, Quotes, Orders, and Products do not have Mailchimp equivalents and are flagged as manual-rebuild items. Ploomes Workflows and Proposal templates are not accessible via the public API and are excluded from migration scope. The result is a clean Mailchimp Audience with the contact properties your team needs for segmentation and campaign targeting.
Every standard and custom field arrives verified.
AI proposes the map; you confirm before any record moves.
Parent–child, lookups, and ownership stay linked.
Calls, emails, meetings — with original timestamps.
Documents, uploads, and inline notes move with the record.

Object mapping
Each row shows how a Ploomes CRM object lands in Mailchimp, including any object-level transformations, lookup resolution, or schema-design dependencies.
Typical mapping — final map is confirmed during the sample migration step.
Ploomes CRM
Contact
Mailchimp
Audience Member
1:1Ploomes Contact records map directly to Mailchimp Audience Members. We extract first name, last name, email address, phone number, address fields, and any custom field values created via the Ploomes POST /Fields endpoint. CNPJ/CPF identification values stored in Ploomes custom fields are preserved in a Mailchimp custom merge field (type TEXT) because Mailchimp has no native Brazilian tax-ID field. Tags applied to the Ploomes Contact are recreated as Mailchimp Tags on the matching Audience Member. The Ploomes Contact-Company association is preserved by adding the Company name as a merge field (COMPANY) or as a tag on the contact record.
Ploomes CRM
Company
Mailchimp
Audience Member (company attribute)
lossyPloomes Companies are distinct records not replicated as a separate Mailchimp object. Each Company record generates a CompanyName merge field value that we attach to the related Contact records as a COMPANY merge field. Teams that rely on account-based segmentation in Ploomes can use the Mailchimp COMPANY merge field to build segments by company name or recreate company groupings as Tags. We document the full Company record list separately so the customer can reference it for any account-based reporting or re-import if needed.
Ploomes CRM
Tag
Mailchimp
Tag
1:1Ploomes Tags are a flat tagging system applied across Contacts, Deals, and Companies. Tags attached to Ploomes Contacts migrate to Mailchimp Tags on the corresponding Audience Members. Ploomes tags used for pipeline or deal categorization are preserved as tags on the contact record but the customer should note that Mailchimp has no deal context to interpret them against; we document which tags relate to pipeline stages so the customer can rename or suppress them post-import.
Ploomes CRM
Custom Field
Mailchimp
Merge Field or Custom Property
lossyPloomes custom fields created via POST /Fields migrate to Mailchimp merge fields. We map Ploomes field types to Mailchimp merge field types: text fields become TEXT, number fields become NUMBER, date fields become DATE, checkbox fields become ADDRESS or TEXT depending on structure. All custom field definitions are exported before contact migration begins, and the corresponding Mailchimp merge fields are created in the Audience before any contact records are upserted. Customers with more than 30 custom fields should be aware that Mailchimp's per-audience merge field limit is 40, and we flag this constraint during scoping.
Ploomes CRM
User (owner)
Mailchimp
Tag or Merge Field (owner reference)
1:1Ploomes Owner records (sales reps assigned to Contacts and Deals) do not have a native Mailchimp equivalent. We extract the owner name and email and attach them as a merge field OWNER_NAME on the Contact record so teams can still segment or report by rep. Owner email is not stored as a contact field to avoid duplicating the contact email; the name field provides the reference. If the destination Mailchimp account is used by multiple Ploomes owners, we recommend using Mailchimp Tags to indicate owner assignment rather than merge fields.
Ploomes CRM
Deal
Mailchimp
Not Migrated (flagged for manual rebuild)
lossyPloomes Deals with pipeline stages, deal values, owners, and stage histories have no equivalent in Mailchimp. Mailchimp is an email marketing platform and does not track opportunities, deal stages, or sales pipelines. We export the Deal record list (deal name, value, stage, owner, associated contact) as a CSV inventory delivered alongside the migration, and document it as a manual-rebuild scope for the customer's sales or RevOps team. Teams relying on deal tracking should not use Mailchimp as their primary CRM.
Ploomes CRM
Quote
Mailchimp
Not Migrated (flagged for manual rebuild)
lossyPloomes Quotes with line items, totals, approval status, and custom properties are excluded from Mailchimp migration because Mailchimp has no quoting or proposal object. Quote version history is not accessible via the Ploomes public API in any case, so only the current quote state could theoretically transfer. We recommend exporting quote PDFs manually from Ploomes before the migration window and storing them in a shared drive. We deliver a quote inventory CSV listing all active and historical quotes as a handoff document.
Ploomes CRM
Workflow
Mailchimp
Not Migrated (documented for rebuild)
lossyPloomes Workflows define automated rules, SLA triggers, checklists, and approval flows and are not accessible via the documented public REST API at api2.ploomes.com. We cannot export them programmatically. We perform a discovery-phase workflow audit where we document the trigger conditions, actions, and recipients for each active Ploomes Workflow and deliver a written Workflow Audit Checklist. The customer rebuilds automation logic in Mailchimp Customer Journeys or in a separate automation tool. This is standard scope for all Ploomes departures.

Gotchas + challenges
Platform-specific issues from each side, plus the pair-specific challenges that don't show up on either platform's page on its own.
Ploomes CRM gotchas
API pagination limit of 300 records per request
User-Key auth requires admin-level access
Workflow automations are not exported via public API
Quote version history is not programmatically accessible
Modular pricing means actual cost depends on selected add-ons
Mailchimp gotchas
Contact count includes unsubscribed and non-subscribed records
Automation workflows cannot be exported
Account suspensions trigger silently during migration
Template HTML is Mailchimp-specific and may not render in other platforms
E-commerce data requires active store connection
Pair-specific challenges
Migration approach
Discovery and contact audit
We audit the Ploomes CRM account to establish total record counts across Contacts, Companies, Deals, Quotes, Tags, and Custom Fields. We confirm admin-level API access via Administration > Integrations (required for User-Key authentication), detect the full custom field schema via GET /Fields, and count total Contacts to plan API pagination batch sizing. We also identify which Ploomes Contacts have CNPJ/CPF values in standard or custom fields and flag any schemas exceeding Mailchimp's 40-merge-field limit.
Custom field and audience schema design
We map each Ploomes standard and custom field to a corresponding Mailchimp merge field, creating custom TEXT, NUMBER, DATE, or ADDRESS merge fields in the destination Mailchimp Audience before any contact data is imported. We create all relevant Tags (matching Ploomes tag names) and configure the COMPANY merge field for company-name segmentation. Any fields exceeding the 40-merge-field limit are flagged and prioritized; overflow fields are documented for manual post-migration entry.
Paginated contact extraction from Ploomes
We extract all Ploomes Contacts through paginated API requests against the 300-record cap. Each page is retrieved in sequence using the Ploomes pagination cursor, with exponential backoff on rate-limit responses. Extracted records include all standard properties, all custom field values, tag associations, and owner name. Company names are resolved from the Contact-Company relationship and attached as the COMPANY merge field. The extraction outputs a normalized JSON or CSV feed ready for Mailchimp upsert.
Company record export and contact-company association
We export the full Ploomes Companies list as a separate CSV inventory including Company Name, CNPJ, address, phone, and owner. This inventory is delivered as a reference document alongside the contact migration and is not imported into Mailchimp as separate records. Company names are mapped to the Mailchimp COMPANY merge field on each related contact during the contact import phase so teams retain company-level segmentation capability in Mailchimp.
Audience member upsert into Mailchimp
We upsert contact records into the Mailchimp Audience using Mailchimp's POST /lists/{list_id}/members endpoint with status updates for existing subscribers. Batch upserts of up to 500 members per call are used to minimize API calls. Tags are applied in a secondary pass using POST /lists/{list_id}/members/{subscriber_hash}/tags. Each upsert batch is reconciled against the source Ploomes contact count before proceeding to the next batch. Owner names are written to the OWNER_NAME merge field on each contact.
Cutover, validation, and handoff
We freeze write access to the Ploomes account during the final cutover window, run a delta extraction of any contacts modified since the initial export, upsert the delta into Mailchimp, and run a reconciliation report comparing Mailchimp audience count against the total Ploomes contact count. We deliver the Deal, Quote, Company, and Workflow handoff documents. We do not rebuild Ploomes Workflows in Mailchimp Customer Journeys as part of the migration scope; this is a separate automation rebuild engagement. Post-migration validation checks include email deliverability testing on a sample of migrated contacts and tag-coverage verification against the original Ploomes tag list.
