Monday.com board and column schema design
We design the Monday.com CRM board structure before any data moves. This includes configuring the Contacts board with standard columns, adding custom columns mapped from Contlo custom properties, designing the Activities board for email, call, meeting, and task engagement history, and creating Tags mapped from Contlo segment names. The schema deploys into a Monday.com test workspace first for validation.
Data extraction and deduplication
We export Contlo Contact records, segment memberships, campaign enrollment data, and engagement history. We run a deduplication pass on contacts using email as the primary key, resolving duplicates based on most recent activity date. Custom property data formats are standardized before transformation.
Contact migration with segment tagging
We migrate Contlo Contacts into Monday.com CRM Contacts in batches. Each contact receives all applicable segment tags from Contlo, preserving the behavioral grouping logic as tag labels. Owner assignment resolves by email match against Monday.com Users; any unresolved owners go to a reconciliation queue for the customer's admin to provision.
Activity history and campaign data migration
We migrate email, call, meeting, and task engagement records as Monday.com CRM Activities linked to the corresponding Contacts. Campaign metadata and template content migrate to Monday.com CRM Campaign records. Analytics event data (opens, clicks, conversions) exports as a structured CSV and imports as a linked dataset on the Campaign board.
Cutover, validation, and automation handoff
We run a final delta migration of any records modified during the migration window, then hand off Monday.com as the system of record.
