The harder translation points are Visionary's pipeline stages mapping to Pipedrive's pipeline stages, owner IDs resolving to Pipedrive user accounts by email, and any Visionary custom fields requiring Pipedrive to create matching custom field definitions before data can land. Workflows, automations, sequences, and third-party integrations do not migrate — FlitStack exports Visionary automation definitions as a rebuild reference so your Pipedrive admin can reconstruct them in Pipedrive's automation engine. The migration runs via read-only API access to Visionary, with a 24–48 hour delta-pickup window capturing in-flight records at cutover. All migrated records are validated against Pipedrive's field requirements, and any records failing validation are flagged in a reconciliation report for manual review before the migration is considered complete. We generate two deliverables before touching Pipedrive: a Visionary data inventory (record counts per object, custom property definitions, pipeline and stage names) and a Pipedrive setup checklist (pipelines to create, stage names and order per pipeline, custom fields to add with types and pick-list options). Your Pipedrive admin completes the Pipedrive-side schema setup — we do not write to Pipedrive until the schema is confirmed in place.
Resolve Visionary owners to Pipedrive user accounts by email
FlitStack matches every Visionary owner_id to a Pipedrive user by email address. The match report lists resolved owners, unmatched owners, and the fallback owner rule your team has selected for each unmatched category. No record migrates with an unresolved owner. Unmatched owner accounts must be invited to Pipedrive before the migration run — FlitStack flags this as a blocking action in the migration plan.
Run a sample migration with field-level diff
A representative slice of 200–500 records migrates first: a mix of People, Organizations, Deals across all pipelines, and a sample of Activities and Notes. FlitStack generates a field-level diff comparing Visionary source values against Pipedrive destination values for every mapped field. You review the diff to verify pipeline-to-stage mapping, owner resolution, custom field values, and deal title truncation flags before the full run is authorized.
Execute full migration with delta-pickup window
The full migration runs against Pipedrive's API, respecting per-plan rate limits via adaptive throttling. A delta-pickup window of 24–48 hours runs in parallel, capturing any Visionary records created or modified during the cutover period. All operations are logged to an audit trail with source record ID, destination record ID, field-level before-and-after values, and migration timestamp. One-click rollback reverts all written records if post-migration reconciliation finds data integrity issues.
Deliver reconciliation report and automation rebuild reference
FlitStack delivers a reconciliation report comparing Visionary record counts and field totals against Pipedrive record counts and field totals, flagging any gaps. The report includes Visionary automation definitions exported as a structured reference document — your Pipedrive admin uses this to rebuild workflows in Pipedrive's automation engine.
