PBS Systems is a dealer management system (DMS) built for automotive dealerships, combining CRM, sales desking, F&I product tracking, service scheduling, parts inventory, and accounting under a single database. Its CRM module captures customer contacts, vehicle associations, and deal records tied to the broader dealership workflow. Zoho CRM is a general-purpose, multi-industry CRM platform with standard Leads, Contacts, Accounts, Deals, and Tasks modules plus Blueprint workflow automation and Canvas layout customization. When moving from PBS to Zoho CRM, the migration carries all contact and account records, deal pipelines, activity history, and PBS-specific automotive fields (VIN, make, model, trim, mileage, F&I products) into Zoho's equivalent structures. Vehicle records and F&I data have no native Zoho equivalent — those map to custom fields or a custom Vehicles module. Workflows, service scheduling rules, and F&I product logic built into PBS do not migrate; FlitStack exports PBS workflow definitions as a reference so your Zoho admin can rebuild them in Blueprint. The migration runs via PBS data export (CSV or API) into Zoho's Bulk Import API, with field-level mapping validated in a sample run before full commit. We extract PBS CRM module data — contacts, companies, deals, leads, activity history, and attachments — via PBS export tools or direct database query. During extraction, we audit every PBS field in use: standard CRM fields, dealer-specific custom fields, VIN and vehicle attributes, F&I product fields, and credit application fields. We produce a field inventory spreadsheet that lists each PBS field, its data type, sample values, and our proposed Zoho mapping (standard field, custom field, or custom module). This discovery step identifies any PBS fields that lack Zoho equivalents and flags them for custom field creation in the Zoho instance before migration runs.
Set up Zoho custom modules, custom fields, and deal pipelines
Before any data moves, we create the Zoho infrastructure needed to receive PBS data: a custom Vehicles module (or the equivalent custom fields on Contact) for VIN, make, model, year, trim, mileage, and color; custom fields on Deal for F&I products, credit status, and lender; and Zoho Deal stage values that match the PBS pipeline stages via value-by-value mapping. We configure Zoho Deal pipelines and assign stage probabilities and forecast categories. The Zoho admin reviews and approves the custom field list and stage mapping before the test migration begins. This step prevents the common issue where PBS stage values are rejected by Zoho validation during import.
Run a sample migration with field-level diff against a 50–100 record slice
A representative sample of PBS records — typically 50–100 contacts, 20–50 accounts, 30–80 deals, and a sample of activity history — migrates into a Zoho sandbox or the live Zoho instance with a test flag. We generate a field-level diff report that compares every source field against the destination field, flagging any truncated values, mismatched pick-list entries, or broken lookup relationships. The sample run validates the custom field creation, vehicle module mapping, owner resolution by email, and deal stage value mapping. The Zoho admin reviews the diff and approves or requests corrections before the full migration proceeds.
Execute full migration in dependency order with delta-pickup window
The full migration runs in Zoho dependency order: Accounts first (since Contacts require an AccountId lookup), then Contacts and Leads, then Deals, then Tasks and Events, then custom module records, then attachments. We use Zoho's Bulk Import API for high-volume record sets, respecting per-plan import job size limits and API credit budgets. A delta-pickup window of 24–48 hours runs concurrently with the cutover — any PBS records modified or created during the window are captured in a second, smaller migration pass so Zoho reflects the final PBS state at go-live. An audit log records every operation, and one-click rollback is available if reconciliation reveals a mapping error.
Post-migration validation, reconciliation report, and workflow rebuild handoff
After migration completes, we run a reconciliation report comparing PBS and Zoho record counts by object type, verifying no records were dropped. We spot-check field values for a random sample of migrated records, confirm that owner resolution worked for at least 95% of records, and validate that deal amounts and close dates match the PBS source. We deliver a PBS workflow export document that lists every identified PBS automation (service scheduling rules, F&I product logic, credit application routing) as a written rebuild guide for the Zoho admin to recreate in Blueprint. The Zoho admin then configures Zoho Blueprint workflows, page layouts, and sharing rules to complete the CRM configuration.
